Director of Operations

We are a rapidly growing love coaching company on a mission to empower women to attract love with a proven strategy. As we scale, we’re seeking a highly accountable, process-driven Director of Operations to lead and optimize the company’s technical, operational, and financial infrastructure. This is a high-impact leadership role with the exciting opportunity to directly contribute to our mission while working remotely from the comfort of your own home.

The ideal candidate is a strategic thinker who thrives in fast-paced environments and can bring clarity, structure, and scalability to complex operations. You’ll be responsible for ensuring that all systems, workflows, and business functions run efficiently and cohesively, enabling our team to execute at the highest level. You’ll also manage a key execution-focused team member and play a pivotal role in ensuring our infrastructure supports sustainable growth.

Key Responsibilities

1. Lead Business Systems, Scalability & Process Optimization

  • Ensure business systems, integrations, and tech stack management support operational efficiency.
  • Oversee CRM, technical funnels, automations, and reporting tools to ensure seamless functionality.
  • Maintain data integrity, reporting accuracy, and operational analytics to support leadership decision-making.
  • Develop SOPs, workflows, and scalable processes to eliminate inefficiencies and improve execution.
  • Collaborate with marketing and sales teams to support operational execution of launches, webinars, and lead generation funnels
  • Ensure tech systems (e.g., landing pages, email automations, tags) are set up and functioning properly during campaigns

2. Operational Leadership & Special Initiatives

  • Proactively identify and implement AI and automation tools to streamline workflows, reduce manual tasks, and scale operations intelligently.
  • Serve as the primary leader for all operational functions, ensuring accountability and efficiency.
  • Directly manage an operations coordinator team member to ensure daily workflows run smoothly.
  • Identify operational inefficiencies and implement process improvements to drive company scalability.
  • Oversee sales and client support operations to ensure seamless delivery and high customer satisfaction.
  • Lead special projects that improve financial, technical, or administrative efficiency.

3. Own the Success of Financial & Reporting Operations

  • Lead and implement reporting systems across all functional areas to drive transparency and accountability.
  • Oversee payroll, P&L management, QuickBooks, and financial reporting to ensure accuracy and efficiency.
  • Manage budgeting, cost optimization, and CPA coordination, ensuring financial efficiency.
  • Identify cost-saving opportunities and process optimizations to improve profitability.
  • Approve and oversee credit card transactions, vendor payments, and financial controls.

4. Oversee HR, Compliance, and Recruiting Success

  • Ensure HR policies, compensation structures, and compliance frameworks are well-defined and maintained.
  • Own the success of recruiting and hiring efforts, delegating to internal recruiters or external partners.
  • Implement company policies and compliance measures to support sustainable growth.
  • Manage contract administration, legal processes, and insurance policies to mitigate risk.

Requirements

  • 6+ years of experience in operations, finance, or business management, preferably in the high-ticket coaching, online education, or digital services industry.
  • Demonstrated proficiency with core business tools including Keap for CRM and automation, and OnceHub for scheduling and client coordination.
  • Proven ability to optimize business systems, workflows, and integrations.
  • Strong financial acumen, including experience with QuickBooks, budgeting, and cost management.
  • Experience managing HR, compliance, and recruiting functions at a strategic level.
  • Strong leadership and communication skills to manage execution-focused team members.
