Job Description:

GENERAL STATEMENT OF DUTIES:

The Associate Director of Residence Life works closely with the Director of Residence Life, and provides organization, management, and supervision of departmental staff, programmatic initiatives, operational initiatives and programs, and management systems and functions. The Associate Director's work will reflect institutional, division and departmental goals and strategic objectives.

The Associate Director provides leadership, support and direction in the recruitment, selection, training, supervision and evaluation of staff members. The Associate Director contributes to departmental activities related to marketing, recruitment, assessment and enrollment management. The Associate Director also serves as a conduct Hearing Officer and serves as an Administrator on Call.

SUPERVISION RECEIVED:

The Associate Director of Residence Life is supervised by the Director of Residence Life.

SUPERVISION EXERCISED:

Provides supervision to Area Director/Residence Director (AD/RD) staff, and co-supervision of administrative support staff and student staff members.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Conducts regular inspections of residence halls and reports on condition and care of facilities; damages; staff bulletin boards; and, policy and code compliance.
  • Supports RA, ARA and SDA training programs and RA Staff Development training sessions.
  • Involves and works closely with members of the AD/RD staff in provision of these programs and facilitates collaboration with all student support services in supporting student retention and learning.
  • Conducts weekly supervisory meetings with assigned members of the residence hall professional staff (Area Directors and Residence Directors).
  • Assists in management, development, and proficient use of technology including the departmental website, myFramingham portal; Banner UDC system; StarRez housing, Guardian conduct system; Canvas platform; smart phones; and, social media sites.
  • Maintains and/or collects data and prepares, reviews, and edits departmental publications, marketing materials and reports as assigned.
  • Supports student staff recruitment, selection, training, and payroll functions as assigned.
  • Coordinates departmental programming efforts utilizing the established departmental programming model. Serves as a programming resource. Reviews and distributes programming data and prepares reports as directed.
  • Coordinates departmental programming efforts on theme housing floors including, but not limited to, the high academic achievement, social justice, health and wellness and rainbow road theme communities.
  • Provides leadership and coordinates departmental initiatives related to diversity and inclusive excellence including, but not limited to, staff selection, training, and programming. Supports and advances departmental and institutional goals and values related to inclusive excellence. Maintains related data, conducts evaluations and assessment, and provides reports as directed.
  • Monitors departmental blanket/open POs related to programmatic expenditures, coordinates purchases as directed and trains staff members in departmental and university purchasing guidelines.
  • Provides oversight to Minor Guest Registration program.
  • Responsible for the oversight of the MassBay Housing at Framingham State University working closely with the Administrative Assistant to oversee MassBay students living at Framingham State University.
  • Coordinates assessment initiatives as assigned including, but not limited to, the Resident Study and the R.A. Study.
  • Chairs or Co-Chairs RA council and RHAB meetings.
  • Responsible for coordinating residence hall damage related procedures including documentation, damage reduction, damage investigation, damage assessments/billing and reporting. Reviews and responds in writing to all damage billing disputes within 30 days.
  • Coordinates marketing, leasing, cleaning, storage, delivery and disposal of MicroFridge units.
  • Monitors compliance with all federal, state, and local laws, regulations and codes related to the Residence Life program with increased emphasis on those related to safety and security.
  • Coordinates fire prevention efforts including scheduling and planning fire drills during the first three weeks of each semester.
  • Coordinates key control measures and policies and maintains key control records. Coordinates locksmith services in accordance with established guidelines.
  • Participates in the process to update, replace, and/or repair residence hall furnishings and equipment.
  • Serves as liaison with Inventory Control and coordinates annual inventory reporting efforts of all department-owned items.
  • Coordinates and participates in residence hall opening and closing activities.
  • Directs and supervises the Movin' Crew program.
  • Assists in coordination of vacation and early arrival housing programs.
  • Serves as Administrator on Call as needed. Responds to incidents and/or emergencies after normal business hours in accordance with established protocol.
  • Serves as a Community Standards Hearing Officer and supports Student Conduct administration as assigned.
  • Assists in record maintenance management in accordance with departmental and MA record retention requirements.
  • Acts as a positive role model to students and staff members.
  • Attends and participates in residence hall opening, room selection, staff training, orientation, accepted students days, and other significant events and activities as assigned.
  • Represents Department and/or Director on committees and/or at meetings as assigned.
  • Responsible for reporting to the Equal Opportunity Officer or Title IX Coordinator knowledge or receipt of reports of discrimination, discriminatory harassment, and retaliation from students or other members of the university community.
  • Designated as a Campus Security Authority under the Clery Act
  • Accountable for ensuring that equal opportunity, inclusion, and equity are integrally tied to all actions and decisions in areas of responsibility.
  • Performs other duties as assigned.

WORKING CONDITIONS:

Work takes place in an office in the Residence Life central office. Position requires regular presence in buildings and spaces across campus.

Requirements:

MINIMUM QUALIFICATIONS:

  • Masters Degree in higher education administration, college student personnel or related field required.
  • Minimum of three (3) years full-time professional residence life work experience in a college or university setting
  • Direct experience supervising professional or graduate residence hall staff
  • Previous residence hall live-in experience
  • Student conduct experience

PREFERRED QUALIFICATIONS:

  • Comprehensive understanding of student development research and theories.
  • Demonstrated organizational and leadership abilities.
  • Crisis management skills and experience participating in an emergency on call rotation.
  • Excellent conflict resolution and management skills.
  • Extensive work experience in Student Conduct, including hearing officer experience and experience with Title IX.
  • Working knowledge of issues, research, development theories, and higher education practices related to diversity and inclusion as well as a commitment to furthering diversity and inclusion initiatives.
  • Proficiency in detailed statistical analysis and report preparation.
  • Excellent oral and written communication skills.
  • Proficiency with computer software and application technology, specifically StarRez.
  • Candidates who are bilingual in English and Spanish or English and Portuguese are strongly encouraged to apply.

Additional Information:

This is a full-time, exempt or non-exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a union title of Associate Director. The starting salary range is $70,000 - $75,000 .
