We are seeking a detail-oriented Invoicing Specialist to join our finance team and support our growing operations.

Job Summary

The Invoicing Specialist will be responsible for managing the end-to-end billing and invoicing process for client projects, including time-and-materials billing, fixed-price contracts, and progress billing common in engineering and field services. This role ensures accurate, timely invoicing while maintaining compliance with company policies and client requirements.

Location: Westborough, Massachusetts (On-Site)

Reports to: Corporate Controller

Job Type: Full-time, Non-Exempt

Key Responsibilities

• Prepare and generate accurate invoices based on project milestones, time sheets, expense reports, and contract terms.
• Review and verify billing data, including labor hours, materials, subcontractors, and reimbursable expenses from field service reports.
• Track project progress and coordinate with project managers and field teams to ensure timely and correct billing.
• Resolve billing discrepancies, respond to client inquiries, and handle adjustments or credits as needed.
• Post invoices in the accounting system and monitor accounts receivable for outstanding payments.
• Assist with month-end closing, revenue recognition, and collections follow-up.
• Maintain detailed records of invoices, payments, and client communications.
• Ensure compliance with internal controls, tax requirements, and client-specific billing portals or formats.
• Support audits and provide billing reports as requested.

Qualifications

• Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
• 3+ years of experience in billing, invoicing, or accounts receivable, ideally in engineering, construction, professional services, or a similar project-based industry.
• Proficiency in accounting software (e.g., Sage 300 CRE, QuickBooks, Deltek, or similar) and Microsoft Office Suite, especially Excel.
• Strong attention to detail and accuracy in numerical data.
• Excellent organizational and time-management skills with the ability to handle high-volume invoicing.
• Strong communication skills for interacting with clients, project managers, and team members.
• Ability to work independently and collaboratively in a fast-paced environment.

Preferred Skills

• Experience with project-based billing (e.g., percentage of completion, T&M).
• Knowledge of revenue recognition principles (e.g., ASC 606).
• Familiarity with client billing portals (e.g., Ariba, Coupa).

Compensation

Annual salary range: $55,000 - $70,000 (Depending upon experience, skills, and qualifications.)
