Mgr Station Support Sys

Job Summary The Manager of Station Support Systems will be responsible for the overall facility maintenance and management of an assigned area or group of facilities and will serve as a primary point of contact for Authority employees who work within these facilities for all maintenance and other related concerns. The selected candidate will also manage, direct, implement, and evaluate contracts, programs, and activities within the Office of Stations, ensuring compliance with Federal and State Codes, Regulations, and Guidelines. Upon completion of on-the-job training, and based on business needs, Employees in this position may be assigned to a non-standard work schedule including evening or night work hours, as well as working weekends, based on operational need. Duties & Responsibilities- Ensure station safety through the enforcement of Authority standards and policies with relation to the appearance, condition, maintenance, and repair of MBTA facilities, including transit infrastructures, stations, garages, maintenance facilities, and administrative areas.
- Supervise facility coordinators, including providing constructive feedback, as well as assisting the deputy director in managing performance, safety, and/or disciplinary issues.
- Ensure all inventory equipment and facility systems are protected and maintained in a safe operating condition.
- Conducts daily transit facility walk-throughs and completes facility inspection reports.
- Identify facility maintenance and condition concerns through personal inspections or through the intake or reports from facility users and generate tickets and work priorities through communication with the Maintenance Control Center (MCC).
- Coordinate the scheduling of all regularly assigned work and/or additional projects via "Night Orders" and conduct periodic inspections of worksites to ensure safe operations of all personnel at respective facilities, taking corrective action as needed.
- Assist with contract and service administration, including but not limited to, the systemwide cleaning, pest control, bird control, trash & recycling, landscaping, and snow removal services.
- Monitor contractor performance, ensuring compliance with project plans and contract specifications
- Ensure safe and reliable operations of all building and station systems.
- Establish, maintain, and promote an ongoing work-responsive relationship with the service providers to accomplish continuous improvement.
- Prepare reports and conduct inspections upon a determined cyclical schedule.
- Create requisitions by obtaining quotes/estimates and uploading them in the MBTA software program.
- Completes special projects or additional duties as required.
- Comply with mandatory snow program participation and/or coordinated responses to snow and other emergency response plans.
- Ensure all assigned areas are clear of snow and treated for safe, uninterrupted access to MBTA facilities by coordinating with vendors and conducting inspections.
- Consistently meet with vendor(s) to discuss expectations and address any issues of concern to the Authority.
- Remain current with the MBTA's Safety Plan as well as the position's outline of responsibilities.
- Respond to each inquiry, whether from a customer, vendor, or co-worker, in a courteous and professional manner.
- Drive a company or personal vehicle to visit work sites and to assist at emergencies and/or events as needed.
- Maintain consistent interdepartmental communications throughout the Authority, including, but not limited to, Bus Operations, Heavy and Light Rail, and the Commuter Rail.
- Respond and, if necessary, report to work as directed by supervisory personnel for emergencies, extreme weather conditions, or any other abnormal conditions that impair the safety or service, twenty-four (24) hours per day, seven (7) days per week.
- Assist in the management of a workforce by ensuring the fair and consistent application and strict adherence to the rules, regulations, collective bargaining agreement (if applicable), and policies of the Authority, including the EEO, Anti-Discrimination, Anti-Harassment, and Anti-Retaliation policies.
- Uphold the rights and interests of the Authority while building and maintaining an effective relationship with employees.

- Facilities Coordinators
- A high school diploma or G.E.D. from an accredited institution.
- Five (5) years of experience in the repair, maintenance, or construction of facilities, buildings, or other structures, or in the management/administration of facility maintenance contracts.
- One (1) year supervisory/ lead experience.
- A valid driver’s license
- Demonstrated experience in coaching, motivating, developing, and leading a team.
- Ability to initiate and document corrective action in a professional and thorough manner as needed.
- Must have excellent analytical, strong time management, project management, critical thinking, and interpersonal skills.
- Working knowledge of Word, Excel, PeopleSoft, database, or mainframe applications.
- Ability to adapt to a fast-paced and changing work environment.
- Ability to prioritize and organize work related tasks and special projects.
- Strong attention to detail and ability to meet deadlines.
- Ability to provide internal and external customers with a courteous and professional experience.
- Possess excellent customer service and conflict resolution skills.

Preferred Experience And Skills- Technical certifications or licenses associated with OSHA, HVAC, NFPA, construction, facilities, or other applicable disciplines.

- Knowledge of supplies and custodial equipment for its intended use and operation.
- Comprehensive knowledge of facilities operations and custodial management procedures.
- Ability to effectively read, comprehend, communicate, and respond to instructions, orders, signs, notices, inquiries, etc. in English.
- Be at least eighteen (18) years of age, except if participating in an approved high school internship / co-op program.
- Ability to commute to assigned work locations in the Boston, MA metro area, as required by the role.
- Ability to provide internal and external customers with courteous and professional experiences.
- Ability to work effectively, independently, and as part of a diverse workforce team (or supervise, if required).

- Ability to work all shifts and / or locations assigned, directed, or necessary for this position, including (for some transit / operations roles) up to twenty-four (24) hours per day, seven (7) days per week as necessary to accommodate severe weather conditions, emergencies, or any other circumstances that may potentially impact service or the safety of service.
- Intern / co-op staff must be enrolled full or part-time in an accredited educational program and maintain a cumulative GPA of at least 2.5 for the entire duration of the internship / co-op. Additionally, interns / co-ops must have valid work authorization and U.S. Social Security Number prior to starting their positions and throughout the duration of their program.
