About the Administrator Role
Are you highly organized, detail-oriented, and ready to make an impact behind the scenes? We’re looking for a proactive Administrator to join our dynamic team! In this role, you’ll play a vital part in keeping our projects running smoothly — supporting project managers, maintaining essential documentation, and ensuring our internal processes stay on track. If you thrive in a fast-paced environment and enjoy being the go-to person for getting things done, this is the opportunity for you.
What You'll Do
- Review and process subcontracts and purchase orders in CMiC and distribute to all required parties via DocuSign.
- Manage and track change orders , coordinating with vendors and subcontractors for signatures and documentation.
- Handle new project setup , including project contacts, key players, and maintaining the project tracker.
- Serve as the main point of contact for Legal and Accounting teams to collect project-specific documentation (sales tax certificates, OCIP enrollment, insurance, etc.).
- Provide backup support to other Administrators as needed to ensure consistent project operations.
What You Bring
- 1–3 years of experience in an administrative or project support role.
- High school diploma or equivalent (additional education or relevant experience a plus).
- Excellent written and verbal communication skills — you know how to keep everyone on the same page.
- Strong ability to multi-task , manage shifting priorities, and meet deadlines.
- Keen attention to detail and solid organizational skills.
- Proficiency in Microsoft Office and PDF software (e.g., Bluebeam).
- Experience with CMiC and/or knowledge of the construction industry is preferred, but not required.
