We are looking for a highly organized and detail-oriented Administrative Assistant to join our property management team on a contract basis in Lawrence, Massachusetts. In this role, you will play a key part in supporting daily office operations and ensuring the smooth handling of administrative tasks. This position requires excellent communication skills and a proactive approach to managing responsibilities. Must be fluent in Spanish.

Responsibilities:

• Provide administrative support by managing schedules, organizing meetings, and handling correspondence.

• Answer and direct inbound calls professionally, ensuring prompt and courteous communication.

• Perform accurate data entry tasks to maintain updated and organized records.

• Manage reception duties, including greeting visitors and addressing inquiries.

• Assist in maintaining office supplies and handling inventory needs.

• Prepare and distribute memos, reports, and other necessary documents.

• Collaborate with team members to ensure timely completion of projects and assignments.

• Uphold a high level of confidentiality when handling sensitive information.

• Coordinate with external vendors or service providers as needed to support office operations.

• Support additional administrative tasks as required to enhance overall efficiency.

• Proven experience in administrative assistance or office support roles.
• Strong proficiency in data entry and managing digital records.
• Excellent phone etiquette and communication skills for handling inbound calls.
• Ability to multitask and prioritize tasks effectively in a fast-paced environment.
• Familiarity with office equipment and basic troubleshooting.
• Proficiency in Microsoft Office Suite or similar software.
• High attention to detail and accuracy in completing assignments.
• Ability to maintain professionalism and confidentiality at all times.
