OVERVIEW:
We are seeking a proactive and resourceful Facilities Coordinator with a general background in facilities operations to support multiple banking branch locations. The ideal candidate will be an independent thinker with strong organizational skills and experience working with vendors, approving invoices, and coordinating maintenance and repair needs across locations. A working knowledge of the Microsoft Office Suite is essential.
PRIMARY ACCOUNTABILITIES / RESPONSIBILITIES:
Performs any functions necessary, within scope of authority and expertise, to provide the highest level of service and responsiveness to customers and the community in which it serves.
- Coordinate day-to-day facilities operations for multiple bank branches and corporate offices.
- Act as the primary point of contact for maintenance issues, repairs, and vendor service calls.
- Manage work orders using internal tracking systems, ensuring timely completion and communication.
- Review and approve vendor invoices; ensure accuracy and adherence to contracts or proposals.
- Source, vet, and manage vendor relationships for various facilities services including HVAC, electrical, plumbing, and general maintenance.
- Monitor preventative maintenance schedules and ensure compliance with internal standards.
- Assist in branch openings, closings, or renovations by coordinating facilities-related needs.
- Maintain records of all facilities activity including service reports, vendor contacts, and warranties.
- Collaborate with internal teams to ensure the safety, functionality, and cleanliness of all bank facilities.
- Use MS Office Suite (Outlook, Excel, Word, Teams) to create reports, track expenses, and communicate with stakeholders.
- Independently solve problems with minimal supervision while escalating larger issues when appropriate.
OTHER ACCOUNTABILITIES / RESPONSIBILITIES
- Performs related and unrelated duties as may be assigned.
POSITION REQUIREMENTS:
- 3+ years of experience in facilities coordination or a related field, preferably in a multi-site environment such as banking, retail, or commercial properties.
- General knowledge of facilities systems such as HVAC, plumbing, electrical, and security.
- Strong vendor management and negotiation skills.
- Ability to read and understand invoices, contracts, and work proposals.
- Excellent communication and organizational skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams).
- Strong problem-solving ability and attention to detail.
- Reliable, self-directed, and able to manage competing priorities across locations.
PERFEERED QUALIFICATIONS:
- Experience in the banking or financial services industry.
- Familiarity with facilities management software or ticketing systems.
- Working knowledge of OSHA and basic workplace safety standards.
- Construction Project Management
