Accounts Receivable Specialist

We are seeking a dedicated and detail-oriented Accounts Receivable and Contracts Administrator to join our team. This role is responsible for managing accounts receivable functions, ensuring timely invoicing, and administering company contracts and agreements. The successful candidate will act to ensure all financial obligations and contractual milestones are met with precision.

Responsibilities

Accounts Receivable:

• Process, reconcile, and manage incoming payments accurately.
• Generate and send out invoices and statements to customers.
• Monitor aging reports and follow up on overdue invoices to resolve payment issues.
• Maintain accurate customer account records, including payment histories and communication logs.
• Assist with month-end and year-end financial reporting related to receivables.

Contract Administration:

• Review, track, and manage the lifecycle of contracts to ensure compliance with company policies.
• Assist in the drafting, reviewing, and negotiation of contract details, amendments, and renewals.
• Maintain and update the company’s contract database and documentation.
• Communicate with clients and vendors regarding contract terms and conditions as needed.

Qualifications

• Experience: 3+ years of experience in QuickBooks and 3+ years in an Accounts Receivable/Contracts Administrator role.
• Education: High school diploma or equivalent required; Associate’s degree in Accounting, Finance, or Business preferred.
• Technical Skills: Proficient in Microsoft Office Suite, particularly Excel, and QuickBooks Online.
• Core Competencies: strong understanding of accounting principles, excellent organizational skills, and high attention to detail.
• Requirements: Ability to pass a background check and obtain Massport clearance/authorized signatory status.

Commute: Must be able to commute to or relocate to Chelsea, MA before starting work. This position is fully onsite.
