Lexington History Museums seeks a highly organized and detail-oriented candidate for

the position of Operations & Administrative Manager. Lexington History Museums

(formerly Lexington Historical Society) is an independent non-profit organization that

serves as a premier interpreter of the events of April 19, 1775, and the faithful steward

of all the town’s history through time. LHM operates three historic sites—Buckman

Tavern, Munroe Tavern, and the Hancock-Clarke House—where significant events of

the Revolutionary War unfolded, as well as the Lexington History Museum at the

Lexington Depot. An extensive collection spanning more than three hundred years of

Lexington history includes documents, artwork, furniture, and textiles, which are

available to researchers. Special programs throughout the year include lectures,

performances, walking tours, social events, and educational programs for adults and

children.

The part-time Operations & Administrative Manager supports the daily administrative

and operational functions of the organization, ensuring efficient office operations,

accurate financial and donor recordkeeping, and strong stewardship of restricted funds.

Working closely with the Executive Director, this position provides cross-departmental

support that enables staff, programs, and public engagement activities to operate

smoothly and in alignment with best practices in nonprofit and museum administration.

Overall responsibilities of the Operations & Administrative Manager include:

  • Serving as a primary point of contact for general inquiries and administrative correspondence.
  • Maintaining organized physical and digital filing and recordkeeping systems.
  • Managing office supplies, routine clerical functions, and basic banking and administrative tasks.
  • Preparing weekly accounting packets and supporting coordination with external bookkeepers or accountants.
  • Tracking income and expenses, with particular attention to restricted funds and grant-supported accounts.
  • Monitoring grant expenditures and assisting with financial reporting and documentation.
  • Processing memberships, maintaining donor and constituent records, and generating reports to support development and stewardship.
  • Providing administrative and logistical support for programs, events, and facility rentals, including the Lexington Depot.
  • Staying current on best practices in museum and nonprofit operations and supporting organizational compliance and documentation.

Qualifications:

  • A bachelor’s degree or equivalent combination of education and relevant experience, with a minimum of two years of experience in nonprofit administration, operations, development support, or a related field.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities independently.
  • Demonstrated experience maintaining financial records, including restricted or grant-funded accounts.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and general business software; familiarity with donor databases or CRM systems preferred (experience with eTapestry a plus).

Preference is given to candidates with experience working in a museum, cultural

organization, or nonprofit environment, and with familiarity in nonprofit accounting or

grant compliance processes.

This is a part-time position with a fluctuating work schedule. Occasional evening or

weekend hours may be required for special events or organizational needs. Lexington
