District Court Administrative Assistant
Under the general supervision of the Administrative Supervisor, will provide
exceptional customer service, clerical and administrative support to the District Court locations. Will be responsible for developing, maintaining and updating files, records and databases. This position involves interaction with attorneys, law enforcement agencies, court personnel, state agencies and the public and involves a wide range of responsibilities.
Duties and responsibilities include the following:
- Provide administrative, clerical and general support to the District Court Assistant District Attorneys
- Answer, direct and respond to incoming calls as well as answer voicemail
- Photocopy, fax, scan, proofread and create documents
- Copy DVDs and CDs
- Receive and screen visitors and callers; explain procedures and provide information and/or refer to appropriate staff
- Manage internal and external mail flow
- Type correspondence and summons witnesses and records
- Type letters and motions
- Create and distribute new District Court files
- Log closed files and file accordingly
- District Court DAMION case entry, updating and disposition
- Run Board of Probation and Triple I Requests
- Provide backup administrative support when needed
- Attends meeting and trainings as required
- Participates in projects as assigned by ADA's
- Performs any other duty that may be requested by the District Attorney or his designee
Qualifications:
- Must possess a minimum of 2 years of full-time or equivalent part-time administrative work experience
- Strong computer skills and proficiency in Microsoft Word and Excel
- Excellent organizational skills with a strong attention to detail
- Ability to prioritize time sensitive matters and ensure all deadlines are met
- Strong written and verbal communication skills
- Ability to work in a fast paced environment, prioritize effectively and meet deadlines
- Ability to maintain a high level of confidentiality and maturity in handling sensitive matters
- Diplomacy in dealing with professionals and members of the public
- Self-motivated individual who works well both independently and as part of a team
- Ability to maintain harmonious relationships with fellow employees and other government agencies
- Always displays the utmost professional appearance
- High school diploma or equivalent required
