Senior Administrative Associate
Asbestos, Lead & Mold Remediation Company
Location: Springfield, MA
Employment Type: Part-Time to Full-Time, In-Office

We are seeking a detail-oriented, highly organized Administrative Assistant / Office Support professional to support executive leadership and keep our operational, compliance, and office systems running smoothly.
This is a trusted, high-responsibility role that requires discretion, initiative, and the ability to manage multiple priorities in a fast-paced environment.
Position Overview
This role has broad responsibility across administrative operations, compliance tracking, payroll reporting, office support, and special projects. You will interact with senior leadership, field staff, subcontractors, and clients, and play a critical role in maintaining accurate records and ensuring regulatory compliance.
Key Responsibilities
Executive & Administrative Support
Provide direct administrative support to the President and Vice President
Draft and distribute company-wide memos and employee communications
Assist with special projects as assigned by executive leadership
Maintain strict confidentiality and discretion at all times
Compliance, Training & Personnel Tracking
Maintain databases for:
Employee training and certifications
Licensing and medical/bloodwork records
Project and job documentation
Track employee attendance, PTO, and eligibility for benefits (health insurance, retirement plans, etc.)
Review new-hire paperwork for completeness and accuracy
Review training, licensing, and medical documentation for subcontractors and new hires
Coordinate required refresher training and medical exams in consultation with the Health & Safety Manager
Payroll & Reporting
Ensure accuracy of payroll-related documentation and basic calculations
Office & Project Support
Support preparation and distribution of:
Asbestos, lead, mold, and surface-coating proposals
Asbestos job packets and required notifications
Large-scale bid packages and project submitals
Project close-out documentation
Personal air sampling and reporting documentation
Perform general office duties and assist with delegation of administrative tasks as needed
Required Qualifications
High attention to detail and strong organizational skills
Ability to manage multiple priorities and meet deadlines
Self-starter with strong follow-through and accountability
Strong computer skills required
Microsoft Office (Word, Excel, Outlook) experience preferred
Ability to read, write, speak, and understand English fluently
Must be comfortable working in a regulated, documentation-heavy environment
Preferred Qualifications
Rich Work history demonstrating strong organizational skills and ability to execute with a sense of urgency
Experience in construction, environmental services, or regulated industries
Spanish language skills (preferred but not required)
Education & Experience
High School diploma or equivalent required
Some college coursework preferred
Minimum of 5 years of experience in an Administrative Assistant or Office Support role required
