Self Help Inc. is currently looking for an Enrollment Assistant to join our team.

We provide a range of services for families and households across Southeastern Massachusetts.

Job Summary

The Enrollment Assistant plays a crucial role in facilitating the enrollment process for the EEC full day program at the Self-Help Inc., Head Start program at the Brockton location. This position will work alongside the ERSEA manager to qualify families for the EEC childcare subsidy program and maintain eligibility.

Essential Duties and Responsibilities

  • Receive and process applications for the full day program enrollment, ensuring all required information and documentation is complete and accurate
  • Assist families with submitting required documentation and providing clarification on program requirements and eligibility when needed
  • Enter, review and track attendance for families with EEC subsidies.
  • Add families to the EEC childcare waitlist- Kinderwait
  • Track parent fees, create and distribute invoices to families weekly.
  • Communicate with prospective families regarding the status of their applications, required documentation, and next steps in the enrollment process
  • Schedule and confirm enrollment appointments
  • Respond to phone, email, and in-person inquiries from families in a professional and courteous manner
  • Ensure the security and confidentiality of all applicant and family information
  • Work collaboratively with the administration team to ensure a seamless enrollment process
  • Provide additional data entry support with Head Start applications and reception coverage during breaks and absences.

Other Requirements

  • Must pass a criminal background check and other required clearances
  • Must have or be willing to obtain CPR and First Aid certification
  • Must meet the physical requirements of the position
  • Valid driver's license and reliable transportation is required

Schedule

  • Monday-Friday, 8:30-4pm with flexibility to work earlier hours during the summer and vacation weeks. 35 hrs. per week, 52 weeks per year

Knowledge, Skills and abilities

  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines
  • Excellent communication (written and verbal) and interpersonal skills
  • Ability to interact effectively with diverse populations and maintain a customer-service orientation
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Must be detail-oriented, organized, and reliable with the ability to meet deadlines.
  • Proficient computer skills and experience with Microsoft Suite applications
  • Must have the ability to multitask in a fast-paced environment and work independently.

Education & Experience

  • Associate’s degree or equivalent work experience in a school setting or working with childcare subsidies
  • Minimum of 3 years data entry experience
  • Experience and knowledge of EEC childcare system, Kinder wait and childcare subsidies preferred.
  • Bilingual preferred
