Chestnut Dental is seeking a dynamic, detail-oriented Front Desk Supervisor to lead our orthodontic front desk team in Needham. If you’re passionate about patient care, thrive in a fast-paced setting, and love keeping things running like clockwork, this leadership role is for you!
What You’ll Do:
Lead, schedule, and support a team of friendly front desk professionals.
Oversee orthodontic appointment scheduling, including new patient consults, emergency visits, and Invisalign care.
Ensure smooth day-to-day front desk operations and support excellent patient service.
Serve as the go-to resource for problem solving, training, and team communication.
Collaborate with orthodontists and management to adapt to the changing needs of the day.

Overview:
Under the supervision of the Practice Administrator and Operations Manager, oversees, supervises, coordinates and schedules the front desk staff and is responsible for the smooth functioning of the front desk. The front desk responds to the patient’s non-clinical needs in a manner consistent with the professional and caring philosophy of Chestnut Dental. Front desk responsibilities include, but are not limited to, telephone and in office contact with new and current patients, scheduling of appointments, charging out patients, collecting payments, promoting the practice through internal and external marketing efforts, and completing appropriate daily and monthly functions. All responsibilities are to be performed with accuracy, efficiency, and a team - oriented approach.

Responsibilities:
Personnel
- Prepare monthly schedules for the front desk staff to ensure full and adequate coverage.
- Formally and informally evaluate front desk staff.
- Assign responsibilities to front desk staff and ascertain that tasks are performed accurately.
- Assist in hiring and training of new employees.
- Evaluate front desk systems and recommends improvements when needed.
- Meet formally and informally with manager, supervisors and/or doctors to address daily issues and long-term issues.
Patient Relations/Care
- Assesses patient satisfaction and recommend improvements as needed.
- Ensure full and accurate scheduling of all providers
- Assist with ongoing training for staff in appropriate methods for dealing with patients.
- Ensure that all patient/parents issues are dealt with appropriately.
Daily Office Routines
- Ensure that all systems are followed so that the day functions smoothly. Maintain daily procedure check list, to include routine computer back-up and safekeeping of tapes and money collected.
- Evaluate systems on an ongoing basis.
- Ensure communication between all front desk shifts.
- Provide leadership in absence of Operations Manager.
- Perform other related duties as assigned or requested.
Scheduling Responsibilities:
- Ensures that ortho schedule is filled accurately. Checks schedule a week in advance to ensure accuracy.
- Oversees scheduling and conducts the non-clinical portion of all consultation appointments.
- Schedules/oversees accurate scheduling of emergency patients.
- Works with orthodontists and Operations Manager/scheduler to accommodate changes in schedule.
- Schedules Invisalign patients
- Fills and rearranges cancelled bandings, consults, orthodontic records or new patient evaluations.
- Maintains information on overdue ortho adjustment appointments; schedules as soon as possible.
- Other duties as assigned based on the needs of the practice.
- Demonstrates exceptional interpersonal skills and is proficient in written and oral communication.
- Ensures outstanding customer service and patient care.
- Maintains outgoing, friendly attitude with patients and staff, exhibiting professional and ethical behavior at all times.
- Ability to effectively manage time and multiple priorities in a fast-paced environment, as well as managing through schedule interruptions and changes.
- Works cooperatively with doctors, administrator, managers, supervisors and colleagues, and is a leader and resource to all team members.
- Attends to all employment matters, conflicts and operational needs in a timely, responsible manner, asks for assistance when needed and is capable of making sound decisions.
