Receptionist

Description We are looking for a detail-oriented and personable Receptionist to join our team on a contract basis in Cambridge, Massachusetts. This position is entirely onsite and requires exceptional organizational skills to manage daily operations effectively. As the face of our company, you will play a key role in ensuring smooth communication and welcoming experiences for all guests and visitors. Responsibilities: - Create and manage work orders to ensure operational efficiency. - Serve as the primary contact for greeting and checking in guests attending events. - Issue visitor badges and maintain accurate records of guest access. - Provide parking passes to visitors as required. - Answer and direct calls using a multi-line phone system. - Maintain clear and timely email correspondence with clients and internal teams. - Organize files and documents to ensure easy retrieval and secure storage. - Schedule appointments and manage calendars to support team operations. - Utilize Microsoft Office tools, including Excel, Outlook, and Word, for administrative tasks. - Deliver excellent customer service by addressing inquiries and resolving concerns promptly. Requirements - Proven experience in a receptionist or administrative role. - Proficiency in managing multi-line phone systems. - Strong customer service skills with a focus on creating positive interactions. - Ability to handle data entry tasks with accuracy and attention to detail. - Competent in using Microsoft Excel, Word, and Outlook for various administrative functions. - Skilled in email correspondence and clear, detail-oriented communication. - Excellent interpersonal skills to interact effectively with guests and team members. - Organizational abilities to manage files, schedules, and work orders efficiently.
