POSITION SUMMARYWinsor’s Advancement team seeks to build an inclusive and connected community across generations, providing opportunities for alumnae, parents, former parents, and friends of Winsor to connect with the school and each other, and to broaden their understanding of Winsor’s mission and needs. The advancement team’s efforts inspire and grow philanthropic contributions to the school.
The advancement assistant will support the Chief Advancement Officer and contribute as a member of the Advancement team as the school engages the community in the Winsor Leads C ampaign, the most ambitious campaign in Winsor’s history, and beyond. Reports to: Chief Advancement Officer Responsibilities Include:
Chief Advancement Officer (CAO) Support
- Manage CAO’s calendar to ensure her schedule reflects her priorities; manage meeting invitations and confirmations, space reservations, catering coordination for donor and prospect visits; coordinate materials for donor meetings;
- Coordinate travel for CAO and sometimes the Head of School and President of the Board of Trustees for special campaign travel;
- Manage credit card receipt filing and submission to the business office each month;
- Assist with filing donor contact reports and other information into database;
- Serve as a professional and welcoming point of contact for donors, board members, and alumnae, managing phone inquiries and office visits with discretion and tact.
- Coordinate Advancement Team meeting agendas, team retreats, and other team meetings as needed; take and share detailed notes;
- Oversee inventory and ordering for office supplies, specialized merchandise (volunteer and donor gifts), and stationery needs;
- Assist with gift acknowledgments, as needed, particularly during high-volume times;
- Manage invoice submissions with corresponding budget codes and review team budget monthly with budget managers to ensure appropriate cost classification;
- Manage Advancement Google calendar, including events, team vacation, and board and committee meetings; liaise with other departments re: events;
- Track and report team attendance daily (to reception) and weekly (HR);
- Act as a liaison between the Advancement team and the Business Office/Head of School’s office to streamline scheduling and financial processing.
- Provide event support for advancement events of varying scale, from Alumnae Weekend to small donor cultivation events, including RSVP management, name tag preparation, coordination of day-of logistics, preparing data lists for event communications, and other tasks as assigned.
- Bachelor’s degree;
- 2-3+ years of experience in an office setting; experience in an educational or non-profit environment preferred.
- A thorough knowledge of Word, Excel, and Blackbaud or equivalent CRM database helpful;
- Proficiency with Google Workspace (Docs, Sheets, Slides) and familiarity with digital communication tools is preferred;
- Exceptional interpersonal skills with the ability to interact professionally with a diverse range of stakeholders, including donors and trustees;
- Excellent organizational skills, time management, and attention to detail ;
- Proactive, self-directed, and reliable, demonstrating initiative and follow-through;
- Ability to manage multiple projects successfully in a fast-paced environment;
- Ability to work independently and as a member of a team;
- High degree of integrity and the ability to handle confidential donor and financial information with absolute discretion;
- A demonstrated commitment to community and inclusion work;
- This is an in-person position that requires attendance at key events outside of standard business hours. While the role is based on-site to support our community and event execution, there is potential for occasional flexibility in the future as the candidate becomes established in the role.

This is a full-time, benefits-eligible position with an anticipated salary range of $65,900 to $84,800 , commensurate with experience and qualifications. The role also offers the opportunity to work in a mission-driven school environment and make a meaningful impact.
