Key Responsibilities:

• Manage the full accounts payable process, including coding, entering, and processing vendor invoices and employee expense reports.

• Prepare and schedule vendor payments via check, ACH, or wire transfer to ensure timely and accurate payment.

• Organize and track inbound vendor bills, field service agent expenses, and receipts; maintain supporting documentation.

• Reconcile vendor statements and proactively resolve discrepancies.

• Assist with vendor onboarding and maintenance, including collection of W-9 forms and setting up new vendors in the accounting system.

• Support year-end 1099 reporting by helping track vendor payments and documentation.

• Collaborate with the Comptroller on bookkeeping tasks such as general ledger entries and month-end close processes.

• Maintain accurate and organized financial records (both digital and physical).

• Prepare and file Sales and Use tax returns, ensuring compliance with state and local tax regulations.

• Perform monthly reconciliations for bank accounts, credit cards, and other financial transactions.

• Develop and manage efficient accounts payable workflows, including vendor payments and purchasing processes.

Qualifications:

• Minimum of five (5) years of experience in bookkeeping, with a strong focus on accounts payable.

• High school diploma or equivalent required; associate degree in accounting, business administration, or a related field preferred.

• Proficiency in Excel/Google Sheets.

• Proficiency in accounting software such as Zoho Books, QuickBooks, or similar platforms strongly preferred; willingness to learn new systems as needed.

• Demonstrated ability to manage the end-to-end accounts payable process, including invoice processing, payment preparation, vendor reconciliations, and maintaining accurate financial records.

• Ability to reconcile accounts and resolve discrepancies accurately and efficiently.

• Strong attention to detail and organizational skills.

• Ability to manage multiple priorities and deadlines in a fast-paced environment.

• Clear and professional communication skills, both written and verbal.
