Reporting to the Director of Professional Services, the Project Management Specialist will be responsible for monitoring, organizing, and directing operations related to ongoing projects in the company. They guide team members in the Professional Services Department to oversee customer facing projects to make sure they are running as planned. In this role, they monitor the progress of multiple projects while ensuring operating policies (the Playbook) are being followed. Monitoring the progress of projects and reporting their results. Communication and time management skills are extremely important as the Project Management Specialist will need to communicate with multiple departments and juggle multiple project commitments. Knowledge of the service aspect of BearCom’s (or similar) business is important.

Responsibilities:

  • Work with the Director of Professional Services to help build the processes, tools, and training to bring design, project management and key service functions into a centralized professional services team at BearCom
  • Review, update, and train BearCom team on the end-to-end project cycle (The Playbooks)
  • Partner with the managers of Engineering/Design, Project Management and Service to deliver end-to-end product life cycle projects
  • Review incoming projects to ensure that the information needed to properly complete the work is included
  • Review incoming project requests and assign correct support staff to each
  • Review quotes to ensure/encourage that the efforts / costs of the Professional Services Team are included
  • Liaise with clients to identify and define requirements, scope, and objectives.
  • Assign tasks to internal teams and assist with schedule management.
  • Make sure that clients’ needs are met as projects evolve.
  • Monitor overall project portfolio progress and manage issues that arise.
  • Communicate project status to all stakeholders.
  • Work with the Project Managers to eliminate blockers.
  • Ensure standards and requirements are met through monitoring quality assurance and control activities.
  • Translate metrics into actionable, meaningful intelligence.
  • Manage expectations and track risks and benefits.
  • Communicate with stakeholders about scheduling, staffing, and technical requirements.
  • Help with other projects/duties as needed.

Qualifications:

  • 3+ years of proven work experience as a Project Coordinator or similar role
  • Understanding of the Project Management Institute (PMI) framework
  • Practical knowledge of various project management methodologies, tools, and applications
  • Familiarity with general construction industry and practices.
  • Familiarity with the service needs of customers involved in large projects
  • Must have excellent communication and negotiation skills.
  • Ability to make important decisions under pressure.
  • Ability to identify, manage, and mitigate risk items within project-related activities.
  • Ability to communicate and work at all levels within BearCom and our largest customers.
  • Ability to plan, organize and prioritize multiple projects and simultaneous performance objectives.
  • Ability to write, read, interpret, explain and act based on a thorough understanding of technical documents, engineering materials and contracts or related documents.
  • Ability to support cross-functional BearCom teams to achieve customer objectives and specific team goals within established time frames and requirements.
  • Consistently demonstrates a commitment to policies and procedures, including but not limited to, attendance, confidentiality, conflicts of interest, and ethical responsibilities.
  • Ability to perform work under time schedules and stress which are normally periodic or cyclical, including time-sensitive deadlines, intellectual challenges, and project management deadlines.
  • It may require working additional hours beyond normal schedule.
  • Ability to use machines, tools, equipment, and work aids including PCs, printers, copiers, faxes, and other equipment commonly associated with an office work area.
  • Work is generally performed in an office environment; you must be able to operate a computer keyboard and view a video display terminal for more than 75% of work time, including prolonged periods of time.
  • Travel will be required on an as-needed basis and may be up to 10%.
  • Drug screenings and background checks are part of the hiring process, which may include a Motor Vehicle Record check
