Position Summary
Under the direct supervision of the Head of Public Programs, the programs assistant supports the planning and production of a robust variety of performing arts (music, dance, theater, film) and special events that fulfill the Clark’s mission to engage current public audiences and to build new ones. This position is responsible for coordinating the logistics that support the full range of work involved in shepherding programming ideas from development through promotion and production, including collaborating interdepartmentally, building relationships with outside groups and organizations, and using institutional systems and software to organize, advertise, and ticket these events. The assistant may also have the opportunity to propose new programming ideas.
The nature of this position requires a flexible work schedule, with regular commitments in the evening and on weekends.

Major Duties and Responsibilities (Essential Functions)
  • In collaboration with the Head of Public Programs, coordinates and supports the production of public-facing events, working with internal and external collaborators.
  • Provides administrative and creative support to the Head of Public Programs.
  • Drafts event descriptions and posts on public ticketing as well as internal platforms
  • Collaborates interdepartmentally with stakeholders; reserves event spaces and communicates logistics interdepartmentally.
  • Coordinates and supports the production of multiple events with a variety of publicity approaches and audience outreach; collaborates with the Communications Department to plan and execute promotional materials.
  • Books travel and hospitality for performing artists, speakers, and others.
  • Coordinates partnerships with outside groups and organizations.
  • Develops and proposes programming ideas under the guidance of the Head of Public Programs.
  • Assists with administering program evaluations and works with leadership to improve programs and to advance institutional priorities; gathers, maintains and disseminates program statistics under the direction of the Head of Public Programs.
  • Works with Head of Public Programs on budgets and contract negotiations, including preparing and sending contracts, and communicating contractual components interdepartmentally as needed.
  • May oversee special projects and events as required, including staffing events and coordinating volunteers and staff members.
  • May serve as events point-person in absence of the Head of Public Programs .
  • Other relevant duties as assigned.
Hourly Rate Range: $19.50-$21.75

Minimum Qualifications

Education, Training, Qualities and Skills
  • Bachelor’s degree or equivalent experience.
  • Demonstrates a confident, engaging public presence, including public speaking, with the ability to address a variety of audiences, in both large and small settings, formal and informal.
  • D emonstrates exceptional time management and organizational skills.
  • Demonstrates an ability to process and organize feedback from a wide variety of partners.
  • Strong customer service skills .
  • Commitment to the values of diversity, equity, inclusion and accessibility.
  • Demonstrates high proficiency with Google Suite and Microsoft Office, experience with ticketing software, and a welcoming disposition to embrace and learn new technologies as needed.
Work Experience
  • Minimum of one year of related experience.
  • Previous experience in the arts preferred.

  • Physical Demands: This position requires sitting at a desk/workstation and using a computer for prolonged periods of time as well as moderate physical exertion related to event preparations.
  • Work Environment: Work will be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate. Flexibility in schedule is necessary. Must be able to work frequent evenings and weekends as required by performance schedule.
