We are looking for a meticulous Administrative Assistant to join our team on a contract basis in Malden, Massachusetts. This role is pivotal in ensuring the smooth functioning of daily office operations and providing exceptional support to team members and clients.
Responsibilities:• Handle incoming phone calls with care and direct inquiries to the appropriate departments.
• Perform accurate data entry tasks to maintain and update records.
• Organize and manage administrative files and office documentation.
• Greet visitors and clients, ensuring a welcoming and organized environment.
• Assist in scheduling meetings and maintaining calendars for team members.
• Support various office activities, including preparing correspondence and reports.
• Coordinate with internal teams to ensure efficient workflow and communication.
• Monitor office supplies and place orders as needed to maintain inventory.
• Manage routine receptionist duties, including handling mail and deliveries.
• Uphold confidentiality and ensure sensitive information is securely managed.• Proven experience in administrative assistance or a related role.
• Strong proficiency in data entry and maintaining accurate records.
• Excellent communication skills, both written and verbal.
• Ability to multitask and prioritize tasks effectively in a fast-paced environment.
• Proficiency with office software such as Microsoft Office Suite.
• Exceptional organizational skills and attention to detail.
• Detail-oriented approach and ability to interact with clients and team members.
• High level of discretion when handling confidential information.
