Office Assistant - Portuguese and/or Spanish
On-site – Boston, MA
Part-Time or Full-Time
BraBos Cleaning is one of the fastest-growing residential cleaning companies in Boston, and we are looking for a highly organized, proactive, and reliable Office Assistant to work on-site at our office.
This role will support our day-to-day administrative and operational routines, helping keep our team organized and ensuring accurate documentation across our systems.
Language Requirement
You must speak Portuguese and/or Spanish fluently.
English is also required
Key Responsibilities
1. Administrative & Operational Support
- Check the MaidCentral system daily to confirm all cleaners completed their clock-in and clock-out correctly.
- Flag inconsistencies and assist with corrections.
- Support the preparation of payroll , ensuring all hours, bonuses, and adjustments are accurate.
2. Cleaner Onboarding & HR Support
- Welcome cleaners to the office for onboarding.
- Take profile photos and upload them to MaidCentral.
- Create and update cleaner profiles, documents, and internal records.
- Assist with general HR-related administrative tasks.
3. Spreadsheet & Reporting Management
- Update and maintain internal spreadsheets, such as:
- Door Hangers Distribution Spreadsheet
- Nesting Period Tracking Spreadsheet
- Daily and weekly operational reports
- Make sure reports are being completed by the team and follow up when needed.
4. Office Organization & Operations
- Keep the office clean, organized, and fully stocked.
- Maintain filing systems and digital records.
- Help answer calls when needed and direct communication to the correct person.
- Support logistics and internal communication.
5. General Administrative Tasks
- Assist with data entry, document creation, and internal communications.
- Perform miscellaneous tasks to support operations and keep the office running smoothly.
- Collect information, verify data, and maintain accuracy across all systems.
Requirements
- Portuguese and/or Spanish fluency is mandatory.
- English
- Basic knowledge of Google Sheets/Excel.
- Highly organized and detail-oriented.
- Reliable, punctual, and able to follow processes.
- Comfortable working with digital systems (experience with MaidCentral is a plus).
- Must be available for on-site work in Boston.
Preferred Qualifications
- Previous administrative or office experience.
- Experience in cleaning companies, logistics, or scheduling roles.
- Strong execution skills and ability to multitask.
