Work Schedule
- Standard hours: 8:00 AM to 5:00 PM (1-hour lunch) or 8:00 AM-4:30 PM (30-minute lunch)
Financial Management & Reporting
- Monthly close and review of financials, finalized and presented by the 15th of each month.
- Perform bank reconciliations and maintain accuracy in general ledger and subcontract accounts.
- Prepare financial analyses, job cost reports, and special financial requests as needed.
- Manage cash flow proactively in a fast-paced environment.
- Oversee budgeting, forecasting, and advise ownership on financial health and spending as needed.
- Serve as liaison to CPA for tax prep and coordinate timey submission of all related data.
- Ensure compliance with ongoing reporting requirements (LLC, tax filings, renewals, 1099s, etc.)
Accounting Oversight
- Supervise accounts payable and bookkeeping staff; review weekly check runs and provide ongoing support and training.
- Oversee accounts receivable, including weekly reviews, and initiating collection actions as needed.
- Review PM and subcontractor paperwork.
- Process vendor bills and ensure timely payment.
- Maintain and manage vendor and customer accounts and relations.
- Coordinate lien waivers, insurance certificates, and AIA requisitions for review.
Real Estate Accounting & Management
- Oversee accounting functions for three separate rental properties.
- Review and prepare monthly financials and manage lease renewals.
- Track and process AP payments and AR collections.
HR & Payroll Administration
- Oversee weekly payroll processing, including onboarding of new employees and managing PTO/sick leave tracking, PFML leave benefits, UI assistance.
- Respond to employee payroll and benefit related questions.
- Handle HR communications and maintain employee data integrity across systems.
- Serve as the point of contact for insurance, benefits, and workers’ compensation.
Systems & Compliance
- Manage implementation and ongoing use of accounting operations software (Sage 100c, HH2, AP Email)
- Continuously identify and implement process improvements to enhance accounting and administrative efficiency.
- Maintain secure, organized records (digital and physical) to support audits, compliance, and internal controls.
- Ensure timely renewals and compliance with all relevant business licenses and certifications.
Executive Support
- Serve as a key advisor to the owner regarding financial health and company spending
- Provide timely responses to financial or job cost information requests.
