Executive / Legal Assistant

We are seeking an Executive/Legal Assistant with civil litigation experience to provide high level administrative and legal support to multiple attorneys. This full-time role requires a highly organized, flexible, and tech-savvy professional who thrives in a fast-paced legal environment.

Position Overview:
The ideal candidate will demonstrate strong multitasking abilities, exceptional attention to detail, and the ability to work both independently and as part of a team. The role requires proficiency in Microsoft Office Suite, strong writing and proofreading skills, familiarity with e-filing systems, and the discretion to handle confidential information.
Role Responsibilities:
As an Executive/Legal Assistant, you will support attorneys in a range of civil litigation and administrative tasks. Your duties will include, but are not limited to:
Case Management:
- Manage assigned litigation matters and related tasks to ensure timely completion of case milestones
- Track deadlines and ensure compliance with Massachusetts state and federal court rules
Calendar & Deadline Management:
- Maintain and monitor complex attorney calendars
- Schedule and coordinate meetings, depositions, court appearances, and client appointments
- Proactively communicate upcoming deadlines and scheduling changes
Civil Litigation Support:
- Assist with case management and trial preparation
- Organize and track litigation materials for attorneys, experts, witnesses, and opposing counsel
- Draft, revise, proofread, and properly format legal documents, including motions, notices, pleadings, and memoranda in compliance with court rules
- Prepare and file documents electronically in state and federal courts (including PACER)
Executive & Administrative Support:
- Provide executive-level support to attorneys and firm leadership
- Draft professional correspondence, emails, and internal memoranda
- Coordinate and arrange attorney travel, including booking flights, hotels, transportation, and preparing detailed travel itineraries
- Maintain organized electronic and physical files using document management systems
Communication:
- Serve as a point of contact for clients, medical providers, court clerks, and insurance representatives
- Communicate clearly and professionally with clients and colleagues
- Handle sensitive matters with discretion and confidentiality
Billing & Financial Support:
- Assist with billing tasks and time entry (prior experience preferred but not required)
Required Skills and Experience:
- Education: Bachelor's degree preferred;
- Prior law firm experience preferred;
- Experience: 5+ years of Executive/Legal Assistant experience preferred.
Skills:
- Exceptional attention to detail with the ability to multitask and meet deadlines.
- Strong written and verbal communication skills.
- Organizational skills and time management capabilities.
- Proficiency with office tools such as Word, Excel, and document management platforms.
- Familiar with State and Federal Court filings, including submission of electronic filings.
- Ability to work independently and in a team environment on multiple projects simultaneously.
- A client-friendly, team-oriented attitude and professionalism in all interactions.
- Ability to maintain a high level of confidentiality.
- Flexibility: Willingness to manage additional duties and responsibilities as assigned.
