Administrative Assistant - Legal / Regulatory Support

This role involves handling communications, managing documentation, and supporting magistrates on rate-setting cases while ensuring professionalism, accuracy, and confidentiality.
Key Responsibilities:
- Respond to telephone, mail, and electronic inquiries from lawyers, paralegals, and state agencies in a professional and timely manner
- Communicate effectively with internal and external stakeholders , ensuring clear and respectful interactions
- Provide administrative support to magistrates on rate-setting cases
- Manage and organize large volumes of documents , including filing, scanning, photocopying, and faxing
- Process incoming and outgoing mail , including sorting, stamping, and distribution
- Handle correspondence and maintain accurate records in compliance with internal procedures
- Support daily office operations and assist with additional administrative tasks as needed
Required Qualifications:
- High School Diploma or equivalent
- Minimum 2–4 years of administrative or clerical experience
- Strong communication, writing, and organizational skills
- Proficiency in Microsoft Office (Word and Excel)
- High attention to detail and ability to manage multiple tasks
- Ability to work independently and in a team environment
Preferred Qualifications:
- Experience as a Legal Assistant, Paralegal, or Court/Legal Office staff
- Prior experience working in a government or regulatory environment
