Sr. Administrative Assistant

Schedule: Monday – Friday, 9:00 AM – 5:00 PM (30-minute lunch break)
Pay Rate: $28.89/hr on W2 + Sick Leave
Key Responsibilities
Perform administrative and clerical duties, including maintaining organized filing systems and processing office requests.
Distribute time-sensitive mail and correspondence (including 51A reports) to the Ombuds team and other internal units.
Support staff onboarding activities and assist with budget management for the Commissioner’s Office.
Prepare Commissioner’s travel reimbursements, ethics forms, and track approvals through EOHHS.
Prioritize and track action items; collaborate daily with the Executive Support Manager on task assignments.
Coordinate scheduling requests for the Commissioner, ensuring accurate agendas, materials, and attendee communication via Outlook.
Maintain confidentiality and exercise discretion when handling sensitive information and scheduling matters.
Track meeting requests for weekly review sessions with Commissioner and support leadership team.
Provide professional phone coverage, triaging calls with courtesy, tact, and an empathetic approach.
Upload and maintain documentation via Microsoft Teams, ensuring timely updates and correspondence.
Assist in planning annual employee recognition programs with Commissioner support staff.
Prepare and assemble high-level materials for briefings, reports, and legislative or agency communications.
Offer support to Central Office units as needed and perform additional duties assigned by management.
Required Qualifications
Proficiency in MS Word, Excel, PowerPoint, Teams, and calendar management
Minimum 2 years administrative support experience requiredAssociate Degree
Minimum 3 years relevant professional experience required
Preferred Qualifications
Bachelor’s Degree
Minimum 2 years administrative support experience desired
