Under the supervision of the Director of Facilities, the Assistant Director of Capital Projects will be responsible for all components of the management and supervision of the capital project division of the Office of Physical Plant. This is a full-time, exempt, administrator position.
Essential Duties and Responsibilities:
• Hiring and supervising all capital project managers employed by the Academy.
• Assigning projects to the managers and managing their workloads in order to insure the timely execution of the projects.
• Developing management systems to ensure successful completion and high quality of capital projects.
• Managing the Academy's capital budget jointly with the Director.
• Coordinating the production of materials for Capital Project related Academy committees.
• Oversees all large project planning, design and construction in coordination with the Director.
• Works closely with department maintenance and operations team to ensure proper information and communication is handled.
• Oversees and helps create departments construction design standards.
o Oversees the campus utility infrastructure, as it pertains to Capital Projects to ensure consistency and uniform quality of the engineering, construction and maintenance of these systems including, but not limited to, the following tasks
• Hiring, supervising and paying all engineers, consultants and construction companies engaged by the Academy for the management of these systems.
• Consults regularly with both the Director and the Associate Director of Facilities, Campus Engineer to coordinate the development and operation of these systems.
o Manages projects personally when the work loads permit in addition to the management tasks associated with the operation of the project division and the structural maintenance department. Responsible in this role for all aspects of the direct management of assigned capital construction projects including, but not limited to, the following tasks:
• Hiring, supervising and paying all consultants and construction companies engaged by the Academy for the project.
• Managing all aspects of the accounting for the project using contemporary computer systems.
• Reviewing all drawings, construction work and invoicing to ensure a cost-effective, high-quality project.
• Coordinating all meetings and organizing the components of the Academy, with the assistance of the director, to ensure timely discussions and decisions.
• Obtaining all required insurance.
• Engaging lawyers and auditors as required in consultation with Comptroller and Business Office.
• Maintaining communication with Town and State agencies as required and ensuring that all required permits, approvals, licenses, etc. are obtained.
• Managing the project schedules and coordinating the disruption caused by the projects with ongoing Academy functions.
• Inspecting and monitoring construction work on site. Must climb staging and inspect work in all site locations.
Required Experience:
The candidate must have at least three, preferably five, years’ experience supervising construction and operations managers, and five, preferably ten, years experience as a capital project construction manager working as an owner's representative. Candidates for the position must have gained this management experience at not-for-profit institutions similar to Phillips Academy. The candidate's management experience should demonstrate the ability to form and operate a successful project management division. The projects managed by the candidate must demonstrate both a highly successful management record and a wide variety of project type and size. A flexible, people-oriented personality is also necessary. The ability to interact with faculty, students, donors and administrators in an effective manner consistent with the style of the Academy is also required. As a residential high school, the Academy requires appropriate behavior from its employees in order to maintain a safe and healthy environment for the students.
Desirable Experience :
A professional degree in engineering, experience with historic preservation, mechanical design abilities and a demonstrated ability to work with complex situations.
