Contract Administrator
The Contracts Administrator is responsible for managing, reviewing, and administering contracts related to facilities services, including maintenance, cleaning, security, HVAC, and other building services. This role ensures contracts are compliant, accurately executed, and aligned with company policies while supporting operational teams throughout the contract lifecycle.
Key Responsibilities
- Prepare, review, and administer service contracts, subcontracts, amendments, and renewals
- Ensure contract terms comply with company policies, legal requirements, and client specifications
- Coordinate with operations, procurement, finance, and legal teams to support contract execution
- Maintain accurate contract records, databases, and documentation
- Track contract milestones, expirations, renewals, and service level agreements (SLAs)
- Monitor compliance with contractual obligations, including insurance, certifications, and performance metrics
- Assist with contract negotiations by preparing documentation and supporting commercial discussions
- Manage change orders, variations, and extensions in line with agreed procedures
- Support audits, risk assessments, and reporting related to contracts
- Act as a point of contact for contract-related queries from internal teams and clients
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Contract Management, Legal Studies, or related field (preferred)
- 2–5 years of experience in contract administration, ideally within facilities management, construction, or services industries
- Strong understanding of contract terms, SLAs, and service-based agreements
- Excellent attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple contracts and deadlines simultaneously
- Proficiency in Microsoft Office and contract management systems
- Knowledge of compliance, risk management, and commercial principles
Preferred Experience
- Experience with facilities services contracts (e.g., FM, MEP, cleaning, security, landscaping)
- Familiarity with procurement and vendor management processes
- Exposure to contract negotiation and commercial support
- Understanding of health & safety and regulatory requirements in facilities services

Compensation: $35 to $38 an hour
