Position Schedule: Full-Time “Flex”, Monday - Friday - 32.5 hours average

  • The schedule will be determined upon hire, proposed schedules are (8:30 a.m. - 3:00 p.m. or 9:00 a.m. - 3:30 p.m.)

Salary: $23/hour

** This is a seasonal position starting in March and ending in December, with the potential for limited winter work in the offseason **

The ideal candidate will be detail-oriented, organized, self-motivated, and confident, with a deep respect for business processes and entrepreneurship. This individual will be responsible for all of the internal operations of the office environment, which helps the management team access the resources they need to do their jobs. This position reports to the Human Resources and Office Systems Manager, and plays a key role in ensuring operational efficiency is achieved within our corporate team.

Responsibilities:

  • Office Management: Oversee the maintenance and organization of the office environment, keep the office clean (i.e. sweep and vacuum floors, wipe down surfaces, ensure cleanliness of kitchen equipment, tend to office plants.

  • Communication: Answer phone calls with a friendly, attentive approach; handle correspondence and assist visitors as needed.

  • Administrative Support: Maintain general office files paper, maintain accurate, organized and up to date electronic files and manage email accounts (Business and Accounts)

  • Financial Support/Accounts Payable: Check bank registers, match transactions, enter receipts, bills, and expenses, pay invoices on time, and oversee accounts payable in QuickBooks Online, keep up to date vendor files

  • IT Management: Ability to troubleshoot, assist and help diagnose computer problems with our external IT business partner. Generate tickets when software or hardware issues are identified

  • File Management: Create and maintain physical and digital client and vendor files, including annual purging.

  • Onboarding and Uniforms: Assist with preparation of onboarding materials, manage uniform inventory, and assist HR with distribution.

  • Facility Management: Acting liaison between the company and facility management, maintaining office plants, and handling cleaning and supply orders, ensure snacks, water and other beverages are properly stocked

  • Employee Support: Coordinate birthday celebrations, employee events, and holiday gifts. Manage keys and vehicle registrations and assist with other projects as assigned.

Qualifications:

  • Education: Associates or Bachelor’s Degree preferred, or High School Diploma and equivalent work experience

  • Experience: Accounts Payable experience highly preferred, or degree equivalent. Strong technology experience required

  • Financial Skills: Experience with QuickBooks Online, ability to read and understand financial statements, such as aging accounts payables, profit & loss, and credit card registers, experience entering financial data, invoice management

  • Communication: Excellent written and verbal communication skills, with a keen ability to interact with clients and employees in person, on the phone, and digitally while managing relationships effectively.

  • Organizational Skills: Exceptional organizational and task-switching abilities, strong attention to detail, and the ability to problem-solve with a proactive approach and positive demeanor.

  • Technical Skills: QuickBooks Online and Google Suite required. Microsoft Office 365, and Online Banking. Strong technology skills and proven ability to learn new software is required.

  • Adaptability: Ability to handle various tasks and projects flexibly and collaboratively.

Physical Requirements:

  • Manual: Ability to use office equipment and participate in IT management and troubleshooting as needed, including computers, servers, routers, phones, and printers.

  • Physical Stamina: Ability to work at a desk and a computer for a full day. Ability to receive shipments that may include stocking the warehouse, organizing and stocking tools and uniforms, and filing documents in our storage room.

  • Outdoor Work: Willingness to water and care for indoor and outdoor plants at the office. Organize and participate in planting and creating gift décor for clients and vendors.

  • Visual Acuity: Ability to appreciate and support aesthetic value and cleanliness in the office and common areas. Self-motivated to keep TGC presentable and beautiful. Ability to organize files, documents, office equipment, and furniture, set up events, and coordinate décor and catering for pleasant presentations.
