About the Role

Fagone Plumbing, Heating & HVAC is looking for a part-time Invoicing Assistant to support our office team at our new North Andover office.

The primary focus of this role is helping prepare, review, and process customer invoices accurately and efficiently. This position is a good fit for someone who is organized, detail-oriented, comfortable working with customer and job information, and able to follow clear office processes.

While invoicing is the main responsibility, this person may also assist with other administrative tasks as needed to support day-to-day office operations.

Responsibilities

• Prepare, review, and process customer invoices
• Review job notes, service details, materials, photos, and supporting documentation for invoicing accuracy
• Follow up internally on missing or unclear information needed to complete invoices
• Maintain accurate customer, job, invoice, and payment records
• Assist with updating customer accounts and job information
• Help organize digital files, invoices, and job documentation
• Support basic data entry and recordkeeping
• Communicate with office staff, technicians, and management to confirm billing details
• Help identify invoice errors, missing charges, or incomplete job information
• Assist with customer communication related to invoices when needed
• Provide general administrative support as needed

Qualifications

• Previous invoicing, billing, bookkeeping, accounting, or administrative experience preferred
• Industry experience preferred, especially in home services, trades, construction, plumbing, or HVAC
• Strong attention to detail and accuracy
• Comfortable reviewing job notes, service details, and customer information
• Able to follow established invoicing and office procedures
• Comfortable using computers, email, and office software
• Reliable, organized, and able to manage tasks independently
• Good written and verbal communication skills
• Comfortable asking questions and following up on missing information
• Experience with Jobber, QuickBooks, or similar field service/accounting software is a plus
