This position offers some flexibility of office location within the hybrid work model currently being observed.

The Childcare Business Operations Support Specialist is responsible for providing operational support and assistance in the development and implementation of effective systems, tools, and program designs aimed at enhancing program stability and effective business operations within childcare businesses. This role involves aiding in the design and execution of various programs, including grants and technical assistance supports, tailored to the unique characteristics and strengths of various childcare program types, particularly family child care, to bolster the capabilities of programs funded and licensed by EEC.

Analyzing data to evaluate the efficacy of EEC program support offerings, identifying areas for improvement, and proposing strategies to address these gaps are core responsibilities of the Childcare Business Operations Support Specialist. Additionally, the Specialist oversees grants, contracts, and initiatives designed to support strong child care program business operations and stability across all childcare program types, including a focus on family child care and Family Child Care (FCC) Systems, ensuring their seamless integration into the existing infrastructure.

Duties and Responsibilities:

  • Coordinate project activities and ensure they are completed on time and within budget.
  • Assist in the development and implementation of project plans, including defining project scope, goals, and deliverables
  • Monitor project progress and provide regular updates to stakeholders.
  • Monitoring programs' adherence to fiscal and programmatic compliance standards outlined in grants and contracts associated with new initiatives.
  • Collaboration with managers overseeing related grants, contracts, and programs affected by planning and execution is essential.
  • Collaborate with cross-functional teams to ensure effective communication and coordination
  • Prepare project documentation, including project schedules, status reports, and meeting minutes
  • Identify and mitigate project risks and issues
  • Manages pre-construction services with Family Child Care Centers
  • Coordinates with Owner, and Project Team to develop comprehensive plan for project start up and successful kick-off
  • Plans all phases of the construction lifecycle from initiation to completion.
  • Identify and prepare for long lead schedule impacts
  • Manage documentation including meeting minutes, RFI's, submittals, shop drawings, RFPs, ASI's and inspection reports, special inspection tests results.
  • Identify, track, and manage scope and change orders both Owner/Client and Subcontractor
  • Verifies subcontractor proposals plans and prepares detailed subcontractor "scope of work" packages.
  • Ensures all necessary regulations and permits are obtained prior to project commencement.
  • Interact with and manage field superintendents on multiple projects.
  • Communicates with clients and delivers project progress reports.
  • Develops and adheres to the budget, timeline, and quality control plan.
  • Consult with head office on projects tracking and operational budgets
  • Ensures that all local, state, and national building codes and regulations and safety precautions are followed.
  • Establish project estimates based on civil, architectural, structural, and MEP sheets
  • Conduct regular job walks to ensure Subcontract performance, schedule, and the highest quality of workmanship.
  • Other duties as assigned.

Preferred Qualifications:

  • Prior experience with operations management for a non-profit organization.
  • Prior experience managing childcare programming.
  • Prior experience with operational management during facility renovation.
  • Strong organizational skills and high attention to detail;
  • Ability to maintain a professional demeanor in person, in written communications and over the telephone.
  • Ability to determine the most appropriate format and procedure for assembling and presenting information;
  • Ability to work on multiple tasks and/or projects concurrently;
  • Ability to respond to flexible job requirements;
  • Ability to work as part of a team and commitment to being part of a learning organization.
  • Extensive skills using computers and familiarity with Microsoft Access, Excel, Word, and Power Point;
  • Ability to communicate effectively orally and in writing. Strong writing skills.

Qualifications First consideration will be given to those applicants that apply within the first 14 days. Minimum Entrance Requirements:

Applicants must have a Bachelor's Degree and at least three years of full-time or equivalent part-time, professional educational experience in a specific or related content area, educational program or service.

Substitutions:

A Master's degree or higher in a specific or related educational content area may be substituted for two years of the required experience. Thirty (30) semester hours equals one year of experience for substitution purposes. Education toward a degree in a specific or related educational content area will be prorated on the basis of the proportion of the requirements actually completed.

Special Requirements: Based on assignment, possession of a current and valid Massachusetts Class D Motor Vehicle Operator's License or the equivalent from another state may be required.
