Coordinator, Major & Planned Gifts
Overview
The Coordinator, Major and Planned Giving supports team programming and strategy, as well as organizing the implementation of team activities. Reporting to the Vice President (VP) of Major and Planned Giving, the Coordinator will manage the VP’s calendar, travel, and expenses, as well as partner on prospect management work. In collaboration with the VP, the Coordinator will manage the reporting and analysis of the team’s budget, identifying trends and opportunities. The Coordinator will partner with the team’s Associate Director on project management work, helping to ensure all goals and KPIs are achieved. Also serves as the program liaison for the department within the Division of Philanthropy and the Jimmy Fund.
This position is considered hybrid, 2-3 days onsite at 10 Brookline Place, Brookline, MA each week. Some travel, attending events as well as off-site meetings when needed. Requires light lifting for event set-up. Weekend and night work is required occasionally.

Responsibilities
- Operational and Administrative Support: Provides operational and administrative support and coordination in the development and implementation of team and program functions; staffs program meetings including preparing agendas, generating minutes, following up on action items and supporting related program initiatives and projects. Prepares documents such as correspondence, reports, presentations, and packets.
- Event Support: May oversee or assist with planning and execution of events or programs as assigned; responsibilities may include event administrative tasks, working with external vendors, drafting acknowledgement letters, and writing briefings for Institute leadership. May manage event-specific inboxes as assigned; triage inquiries and provide general problem resolution related to program with appropriate level of urgency. May provide backup participant management support when needed.
- Program Liaison: Serves as primary point of contact for internal activities and stakeholders, and may serve as a primary contact for stakeholders outside of the Division and DFCI as needed.
- Financial Reporting: May monitor budget, track expenditure, and handle financial administration projects as it pertains to the program. May be responsible fundraising reports.
- Collaboration: Work with colleagues across the Division to identify best practices and areas for innovation and growth.
- Other duties assigned, which may include revenue responsibilities.
Qualifications
Minimum Education:
High school diploma or equivalency required. Associate’s/Bachelor’s degree preferred.
Minimum Experience:
2 years of administrative experience required.

- Communication: Strong written and verbal communication skills.
- Customer Service: Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
- Organizational: Ability to be self-directed and work independently as well as part of a team. Strong ability to organize, prioritize, and follow-through on a variety of projects.
- Diligence: Must possess the ability to problem solve with minimal guidance, maintain confidentiality, and pay attention to detail.
- Data: Basic ability analyzing, interpreting and reporting on data with attention to detail and to inform programmatic decisions.
- Judgement: Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.
- Computer Literacy: Proficient knowledge of computer applications including Microsoft Office Suite, Zoom, and Adob
PATIENT CONTACT: May interact with patients as event participants and/or presenters at events.
