Assistant Registrar
- Support the Senior Registrar in processing outgoing loan requests and preparing related documentation.
- Support the Senior Registrar in processing incoming long-term loans, gifts, and acquisitions and preparing related documentation.
- Assist with the physical movement, labeling, inventory, and rehousing of collection objects.
- Help maintain up-to-date location tracking and catalog records for the permanent collection, long-term loans, and acquisitions.
- Aid in coordinating conservation assessments and photography scheduling.
- Assist with maintaining organized digital and paper files.
- Process books, change forms, and conservation documentation and enter and upload information into collections management system (TMS).
- Assist Senior Registrar with the preparation of insurance certificates, shipping receipts, and reports as needed for the permanent collection and long-term loans.
- Assist Registrar for Exhibitions in all aspects of preparing for, installing, and dismantling exhibitions, including exhibition documentation (electronic and paper), preparing condition report notebooks, receipts, certificates of insurance, and updating location changes in the museum’s collection management system (TMS).
- Assist with courier installation and deinstallation activities, ensuring proper handling and tracking of objects.
- Maintain accurate records in the museum’s collections management system (TMS) for all exhibition-related object movements.
- Contribute to departmental projects, including data clean-up, storage upgrades, and policy documentation.
- Become a trained and certified screener of the TSA Certified Cargo Screening Program.
- Other relevant duties as assigned.
- Bachelor’s degree in art history, museum studies, or related field preferred; equivalent combination of education and experience will be considered.
- Must be able to pass a TSA required Security Threat Assessment. Must be able to complete and pass TSA training and testing requirements at the screener level.
- Ability to work collaboratively and cooperatively within a team comprised of museum staff, contractors, vendors, and couriers.
- Strong communication and interpersonal skills.

- Ability to represent the museum professionally during courier assignments, which may involve long hours, delays, and physically demanding circumstances.
- Minimum of 3 years relevant experience preferred.
- Work experience in a non-profit arts organization, art museum, gallery, or library.

- Physical Demands: The position requires working at desk and using a computer for prolonged periods of time. The position also requires standing, walking, bending, climbing, reaching, and strenuous lifting/moving objects up to 25 pounds.
- Work Environment: Work will usually be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate. Some work will be performed outside, potentially in inclement weather. Some travel will be required.
- Requires flexibility for courier travel, including long transit times, irregular hours, and varied accommodations and environments.
