The Facilities Manager is responsible for overseeing the operation, maintenance, and continuous performance of laboratory and facility infrastructure within a regulated cGMP environment. This role ensures all facility systems, preventative maintenance activities, service requests, and work orders are executed efficiently, safely, and in full compliance with regulatory requirements.

The Facilities Manager leads facility maintenance operations in a fast-paced biotechnology setting, ensuring laboratory environments remain fully operational and compliant while supporting scientific and manufacturing activities. This role requires strong project coordination, vendor management, and technical oversight of building systems including HVAC, utilities, and laboratory infrastructure.

The Facilities Manager will leverage digital maintenance management platforms and facility management systems to track service requests, manage work orders, monitor performance metrics, and maintain regulatory documentation. The role serves as a critical interface between laboratory operations, vendors, facility service providers, and organizational leadership to ensure facility reliability and operational continuity.

Facilities Operations and Maintenance Management

• Oversee the day to day operation and maintenance of laboratory and facility infrastructure.

• Ensure all facility systems including HVAC, utilities, environmental controls, and laboratory infrastructure operate reliably and efficiently.

• Manage preventative maintenance programs to ensure facility systems remain compliant and operational.

• Coordinate repairs, maintenance activities, and facility upgrades with internal teams and external vendors.

• Monitor facility performance and proactively address potential operational risks.

• Maintain documentation supporting maintenance activities, calibration records, and equipment servicing.

• Coordinate maintenance activities in controlled environments to ensure compliance with regulatory and operational standards.

• Ensure contractors and vendors performing work adhere to site compliance and safety requirements.

Work Order and Service Request Management

• Ensure all work orders and service requests are reviewed, prioritized, and completed within defined timelines.

• Maintain accountability for timely response and resolution of facility maintenance issues.

• Track maintenance activities and service completion through digital maintenance management platforms.

• Maintain accurate documentation and closure of work orders to support compliance and audit readiness.

• Monitor service response performance and identify opportunities to improve maintenance workflows

Preventative Maintenance and Reliability Programs

• Develop and manage preventative maintenance schedules for facility systems and critical infrastructure.

• Monitor maintenance trends and identify opportunities to improve equipment reliability and facility performance.

• Coordinate equipment servicing, calibration, and qualification activities where applicable.

• Work with laboratory and operational teams to minimize disruptions during maintenance activities

Vendor and Contractor Management

• Manage relationships with external facility vendors, service providers, and maintenance contractors.

• Coordinate service schedules and ensure vendor work meets quality, safety, and compliance standards.

• Review vendor performance and identify opportunities for service improvements or cost efficiencies.

• Ensure vendor activities are properly documented and aligned with site compliance requirements

Digital Systems and Facility Technology Management

• Utilize digital facility management systems to track work orders, preventative maintenance activities, and service requests.

• Maintain facility documentation, maintenance records, and operational metrics within digital platforms.

• Generate reports and dashboards to monitor facility performance and maintenance completion metrics.

• Identify opportunities to improve facility management processes through technology and automation

People Leadership and Team Management

• Lead and supervise facilities and maintenance personnel, establishing clear expectations for performance, responsiveness, and accountability.

• Conduct regular one on one meetings with direct reports to review performance, address operational issues, and support professional development.

• Ensure team members are properly trained on facility systems, safety procedures, maintenance protocols, and cGMP compliance requirements.

• Coordinate staffing priorities and workload distribution to ensure timely completion of preventative maintenance, work orders, and service requests.

• Foster a culture of accountability, collaboration, and continuous improvement while supporting recruitment, onboarding, and development of facilities staff

Safety and Environmental Compliance

• Support implementation and monitoring of safety programs related to facility maintenance activities.

• Maintain documentation including safety procedures, equipment maintenance logs, and environmental monitoring records.

• Promote a culture of safety and operational discipline across facility operations

Requirements:

Required Qualifications

• Bachelor’s degree in Engineering, Facilities Management, Life Sciences, or a related technical field preferred.
• 5+ years of experience managing facilities or maintenance operations within biotechnology, pharmaceutical, or regulated laboratory environments.
• Demonstrated experience supporting facilities within cGMP or regulated environments.
• Strong knowledge of building systems including HVAC, utilities, laboratory infrastructure, and facility maintenance programs.
• Experience managing preventative maintenance programs and maintenance scheduling.
• Experience managing facility vendors and service providers.
• Strong organizational and problem-solving skills in a fast-paced operational environment.
• Excellent communication and coordination skills

Preferred Qualifications

• Experience supporting GMP manufacturing or regulated laboratory facilities.

• Experience with Computerized Maintenance Management Systems (CMMS) such as ServiceNow, Maximo, eMaint, or similar platforms.
• Experience supporting facility qualification, calibration programs, or equipment lifecycle management.
• Knowledge of environmental monitoring and controlled laboratory environments.
• Experience implementing maintenance performance metrics and operational dashboards
