Administrative Project Coordinator
Position Overview
We are seeking a highly detail-oriented Administrative Project Coordinator to support our construction team at our Lunenburg, MA headquarters. This position is heavily focused on administrative support, documentation, and tracking, and plays a key role in ensuring projects run smoothly behind the scenes.
This is a fast-paced, team-oriented environment ideal for someone who excels at organization, accuracy, and managing high volumes of administrative tasks.
Key Responsibilities

Provide administrative support across all phases of construction projects

Assist with coordinating and organizing bid documentation, including pulling plans, tracking addendums, and distributing bid results

Prepare and maintain project documentation including purchase orders, change orders, and other internal records

Accurately track and organize project data, logs, and spreadsheets

Process and review invoices, ensuring accuracy in quantities and supporting documentation

Maintain organized digital and physical filing systems for all project-related documents

Support project setup and data entry across internal systems (ViewPoint, B2W, etc.)

Handle requests for insurance certificates, bid bonds, and related documentation

Assist with compliance documentation and reporting requirements

Provide general administrative support to Project Managers, Estimators, and field teams
Typical Day-to-Day Tasks

Managing high-volume administrative workflows and data entry

Tracking and organizing daily project logs, reports, and documentation

Coordinating email communication and document distribution

Preparing and processing invoices, purchase orders, and receipting

Organizing project folders and maintaining filing systems

Tracking deadlines, addendums, and required documentation

Supporting month-end reporting and administrative follow-ups

Scanning, printing, and routing documents as needed

This is a Contract position based out of Lunenburg, MA.
Pay and Benefits
The pay range for this position is $30.00 - $35.00/hr.
