Program Administrator - Center for Neuroinclusive Oncology

This is a time-limited role with funding for two years. It is a part-time, hybrid position based at our Longwood campus. Please include a cover letter with your application.
Under limited supervision, the Program Administrator II provides operational and complex administrative support to the program. The Program Administrator II coordinates programs to ensure that implementation and prescribed activities are carried out following specified objectives and may assist in the development of new or revision of program goals and objectives. The Program Administrator II represents the program in promotional efforts, cross-functional collaboration, prepares detailed program reports, analyzes data, and provides insights for program improvement. Primary Duties and Responsibilities:
1. Provides operational and complex administrative support in the development and implementation of program functions.
2. Staffs or leads program meetings including preparing agendas, generating minutes, following up on action items and supporting related program initiatives and projects.
3. May lead or supervise program administrative staff providing guidance and mentorship.
4. May be responsible for maintaining program databases, collecting and analyzing data, and preparing reports to track program progress and outcome.
5. Serves as a central point of contact between staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters.
6. Represents the program in promotional efforts and in cross-functional collaboration.
7. Plans and executes seminars, meetings, and special projects.
8. Triage inquiries and provide general problem resolution related to program with appropriate level of urgency.
9. Maintains and manages processes associated with varied programs, projects, and events.
10. May evaluate program effectiveness to develop improved methods.
11. May assist in the development of new or revision of program goals and objectives.
12. Produces and manages program-wide communications for program members and relevant stakeholders.
13. May be responsible for promoting the program through various channels such as social media, email newsletters or community outreach efforts.
14. May develop or update content for websites and social media platforms.
15. Keeps all members of the team up to date with relevant program information.
16. Supports program leadership in evaluation of current needs, considers future growth and identifies plans for developing appropriate initiatives to support the Department’s infrastructure (i.e., process improvement, etc.).
17. In collaboration with the management, routinely gathers stakeholder feedback, addresses concerns or feedback, and escalates critical issues.
18. As part of programmatic work may support and assist institute-wide cross-departmental projects and initiatives.
19. May monitor budget, track expenditures/transactions, and handle financial administration projects as it pertains to the program.
20. May work on special assignments and projects as needed.
Knowledge, Skills and Abilities:
• Excellent written and oral communication skills.
• Advanced knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.
• Knowledge of trends, issues, and accepted practices relevant to the position.
• Excellent attention to detail skills.
• Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
• Must possess the ability to independently solve problems, maintain confidentiality and pay attention to detail.
• Demonstrated ability to take initiative.
• Excellent ability to organize, prioritize and follow-through.
• Ability to manage projects with direct supervision.
• Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.
Minimum Job Qualifications:
Minimum Education:
High School Diploma required. Bachelor’s degree preferred.
5 years of experience working in a medical or scientific research setting or comparable technology-oriented business environment required; of which 2 years must be in a program coordination /administration role.
Supervisory Responsibilities:
Yes, may lead or supervise program administrative staff.

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.
For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
