Organizer and Office Manager

Based in Boston, MA
(In-person on the UMass Boston campus, with the opportunity for a hybrid schedule.)

The Professional Staff Union (PSU) is a labor union of professional staff and classified supervisors at UMass Amherst and UMass Boston. PSU is affiliated with the Massachusetts Teachers Association and the National Education Association. We are a member-led organization with elected officers and board members who are deeply engaged in the work of the union.

The primary responsibilities of this full-time position are member organizing and office management. Member organizing duties include building member power through leadership development, organizing members around issues and workplace problems, helping to lead campaigns, and supporting member committees. Office management duties include answering email, phone, and correspondence, data entry and reporting, and coordinating meeting logistics.

Examples of work responsibilities:

  1. Work closely with the UMass Boston (UMB) Contract Action/Area Rep Team co-chairs
    • on member organizing activities and initiatives.
    • to recruit and onboard CAT/Area Reps, and provide support to them.
  2. Work closely with the UMB Treasurer to plan, schedule, and hold new member orientation sessions. Prepare session materials. Track attendance and membership sign-up.
  3. Work closely with UMB co-chairs and Communications Committee chair to write and edit all-member email messages. Edit/update website content.
  4. Support Grievance Secretary, committee chairs/Chapter Board members, officers, and contract bargaining team with tasks including creating scheduling polls, reserving rooms, emailing committee members, recruiting silent bargaining reps and other logistics. Maintain email lists.
  5. Manage the PSU office: open and process postal mail, prepare and distribute correspondence, assemble various member packets, secure meeting space, monitor equipment and supply needs, manage copier maintenance, print postage, manage hardware and software, maintain confidentiality of all office records.
  6. Respond to members' inquiries: answer phones and email and refer member inquiries to appropriate representative, facilitate questions of members presenting in the office.
    • Manage the membership process: Process new member forms, communicate with MTA (Massachusetts Teachers Association) and Human Resources on the Boston campuses on new members.
  7. Manage member data: Review and correct all part-time/full-time changes in status, send member information to MTA field reps and grievance officer, send new additions/deletions/changes to PSU Financial Director, download HR data, collaborate with Financial Director in reconciling discrepancies, provide member lists and reports as needed.
  8. Manage/update mailing lists in email service (Mailchimp): new hires, terminations, changes in membership status.
  9. Provide support for delegates attending MTA conference: Hotel reservations, food, travel reimbursements, etc.
  10. Performs special projects as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree and one to three years’ experience in labor organizing. An equivalent combination of education and experience (five to seven years total) will also be considered.
  • Experience with billing/collections and data entry.
  • Ability to communicate and follow detailed instructions.
  • Ability to manage the demands of concurrent projects and produce high-quality results.
  • Ability to deal tactfully with others and exercise sound judgement and discretion in handling confidential information, emotional people and situations
  • Experience with computer tools such as Excel, Word, Powerpoint, Adobe, and Google suite. Willingness to learn the two databases PSU uses: UnionImpact for membership management and ActionBuilder for organizing.
  • Ability to work independently and in a team setting.
  • Ability to support the leadership and development of PSU members.
  • Ability to support and work with people of many different backgrounds, ethnicities, genders, ages and skills sets.

THIS IS A FULL-TIME POSITION

Location: In-person on the UMass Boston campus, with the opportunity for a hybrid schedule

SALARY RANGE: $82,500 – $109,000 annually
