Project Manager Assistant

We are currently looking for an Assistant Project Manager with Site and Utility experience to join our team.
Position Summary
The Assistant Project Manager (APM) supports the successful planning, execution, and closeout of site civil construction projects by assisting Project Managers, Superintendents, and field teams with day-to-day project operations. The APM plays a key role in managing project documentation, subcontractor coordination, cost tracking, scheduling, procurement, and client communication to ensure projects are delivered safely, on time, within budget, and to company quality standards.
This position requires strong organizational skills, attention to detail, and the ability to bridge communication between the field and the office while supporting multiple active projects.
Key Responsibilities
Project Administration
- Assist Project Managers in the overall management of site civil construction projects from preconstruction through closeout
- Maintain project documentation including contracts, submittals, RFIs, change orders, purchase orders, permits, and daily reports
- Support preparation of project schedules
Financial & Cost Management
- Assist in budget setup, job cost tracking, and cost-to-complete forecasting
- Support subcontractor and vendor procurement, including bid leveling and scope comparisons
- Process invoices, purchase orders, subcontract agreements, and change orders including time and material slips
- Assist with monthly job cost reviews and financial reporting
Field & Operations Coordination
- Coordinate closely with Superintendents and field staff to ensure alignment between project execution and office management
- Support labor, equipment, and material planning to maintain project productivity
- Help resolve field issues related to drawings, utilities, logistics, inspections, and subcontractor coordination
- Participate in project meetings, site walks, and owner/GC coordination meetings
Requirements
2–5+ years of experience in construction project management, preferably in site civil, utility, excavation, or heavy highway work
- Understanding of construction operations
- Ability to read and interpret civil plans, specifications, and contracts
- Proficiency in Microsoft Excel, Word, Outlook, and project management software
- Strong organizational, communication, and problem-solving skills
- Ability to work in a fast-paced environment managing multiple priorities
Preferred
- Experience with Procore, HCSS Heavy Bid, HCSS Heavy Job, Microsoft Project, and Bluebeam Revu
- · Bachelor’s in construction management, Civil Engineering, or related field experience (preferred but not required)· ,
- Microsoft Project, Procore and other Project Management Tools
- OSHA awareness and general safety knowledge
