Position Location: Boston, MA
Job Summary:
Contractor personnel shall provide clerical and customer service assistance to the Department of Navy Recruitment Command Center and Gemini Tech Services by performing a variety of clerical and US Navy administrative tasks. This work is under the general supervision of higher-level personnel in preparation of various human resource tasks throughout compensation, benefits, staffing/employment, EEO and policy administration. This position is expected to exercise discretion at all times; limited judgement may be necessary at times.
Duties:
- Provide direct support to program administrators by providing secretarial services to type, edit, and distribute a wide variety of correspondence under established guidelines and procedures.
- Prepare personal awards based on an awards template as well as engraving names and command logo on plaques in accordance with standard operation procedures (SOPs).
- Answer and direct incoming telephone calls and visitors.
- Schedule and plan meetings/appointments as required, including conference calls.
- Liaise with staff members, applicants and the general public on a daily basis.
- Develop and maintain filing systems for applicant files, general correspondence, forms, reports, minutes, and other materials per direction and procedures.
- Assist with distribution, photocopying, faxing, mailing, and preparation of routine correspondence and outgoing materials as needed.
- Coordinate, compile and maintain data for submission in monthly/quarterly/annual reports.
- Assist with screening, reviewing and verifying the accuracy of applicant enlistment paperwork and update applicant enlistment documents using secure automated personnel data systems as needed.
- Organize, collect, analyze, and present statistical information related to the tracking of applicants, goal attainment, and marketing analysis for both officer and enlisted programs.
- Access and update multiple standard automated personnel systems simultaneously.
- Obtain workload data and track progress in meeting objectives and use of resources via web-based Navy applications and other commercially available web-based programs.
- High level of proficiency required in HR core competencies that include handling routine and customer inquiries via telephone and e-mail, and coordinating with supported unit administrative personnel, and other service providers.
- Collects workload and develops and implements performance metrics used to measure work center performance against quality control standards.
- Wear an ID badge at all times when performing work under this contract at a government site, to include attending Government meetings and conferences. Unless otherwise specified in the contract, the employee shall wear the ID Badge in a conspicuous place on the front of exterior clothing and above the waist, except when safety or health reasons prohibit such placement.
- Identify yourself as a Contractor employee when answering Government telephones.
- Performs office automation duties using such software applications as electronic mail, desktop publishing, calendar, WORD, Excel, Access, and/or graphics.
- Carries out recurring office procedures independently.
- Handles differing situations, problems, and deviations in the work of the office according to the staff’s general instructions, priorities, duties, policies, and program goals.
- Refers non-routine requests to appropriate managers or staff
Qualifications:
- Must have a high school diploma and 3 years of applicable experience.
- Must have knowledge in the entire Microsoft Office suite of software applications to include MS Word, MS Excel, MS Outlook, MS Access, MS PowerPoint, MS Visio, and MS SharePoint Workspace. electronic mail, schedulers, spreadsheets, databases, tables and graphs).
- Experience editing and formatting documents in accordance with the Navy Correspondence Manual.
- Experience in editing and formatting documents in accordance with SECNAV awards instruction and Navy Correspondence Manual.
- Must possess knowledge of the principles, methods, practices, and techniques of written and verbal communication.
- Must be skilled in communication techniques to gather and disseminate information and communicate problems and results.
- Must have the ability to work well with others and manage multiple tasks, with good organizational skills.
Employment Type: Full Time hourly Service Contract Act (SCA) position
Pay Rate: $22.63
Health & Welfare: In addition, $4.93 per hour worked (up to 40 per week) toward Insurance Benefits
Holiday Pay, Paid Time Off (PTO) and Sick Leave Pay applies to this position.
WORK SCHEDULE: Five work day schedule at 8 hour days 08:00AM to 04:30PM
PHYSICAL REQUIREMENTS:
The ability to lift 10 pounds, pushing, pulling, carrying, stooping, bending, squatting, and reaching. Work environment includes periodic overtime, exposure to heat, dust, cold, and inclement weather conditions.
REQUIRED SECURITY CLEARANCE:
- Must have ability to obtain and maintain DoD Secret clearance.
