Wells and Company Builders seeks an Office Administrator to join the team!
The Office Administrator plays a vital role in keeping the operations of a small but growing residential construction company running smoothly. This role provides direct support to the owner, ensures organized processes, delivers exceptional customer service, maintains CRM data and assists with marketing and client communications.This role is not remote or hybrid — consistent in-office presence is required to effectively coordinate with the owner, other team members and support field crews. The ideal candidate is flexible, personable, organized, and ready to roll up their sleeves in a fast-paced, collaborative environment. Strong communication and organizational skills are essential, as this role involves interacting with a wide range of personalities — from clients and subcontractors to field crews — while also managing up to keep the owner organized, on schedule, and informed.
Key Responsibilities Owner & Operational Support:
- Proactively manage the owner’s calendar, appointments, and project priorities.
- Keep the owner organized and focused by tracking action items, deadlines, and follow-ups.
- Prepare and organize project documentation, contracts, and assist with permit applications.
- Maintain digital and physical filing systems for efficient project and administrative record-keeping. General Administrative Support:
- Order and manage office supplies, ensuring inventory levels are maintained.
- Keep the office space clean, organized, and well-stocked.
- Coordinate maintenance and office equipment needs.
- Run company-related and occasional personal errands as needed to support operations. Customer Service & Client Coordination:
- Act as the primary point of contact for client calls, emails, and inquiries.
- Schedule client meetings, walkthroughs, and follow-up calls as needed.
- Ensure all interactions are handled with professionalism, warmth, and attentiveness to client needs. CRM Management & Data Upkeep:
- Maintain accurate and up-to-date records in the company’s CRM system.
- Track project progress, client communications, and deadlines within the platform. Marketing & Administrative Support:
- Assist with updating company social media platforms with recent projects and announcements.
- Help design and distribute marketing materials like brochures, flyers, or client packets.
- Support planning and coordination for company and team-member events. Qualifications
- 5+ years of administrative experience, preferably in a construction or construction adjacent small business environment.
- Strong communication and interpersonal skills, with the ability to adapt to different personalities and communication styles.
- Excellent organizational skills, with a proven ability to multitask, prioritize, and meet deadlines.
- Technical proficiency with:
• Monday.com or other project management platforms
• Slack or similar team communication tools
• Google Workspace (Docs, Sheets, Drive, Calendar)
• Microsoft Office (Word, Excel, Outlook)
- Ability to manage up, keeping leadership organized and on track in a fast-moving environment. Preferred Traits & Skills
- Friendly, professional, and approachable with clients, vendors, and team members.
- Flexible and adaptable when handling shifting priorities or unforeseen challenges.
- Proactive and willing to take ownership of tasks to support overall team success.
- Familiarity with construction processes and terminology (preferred but not required).
- Basic marketing or graphic design skills (a plus).
