Contract and Job Cost Accountant — Procore/Sage Specialist

Why this role matters

Reporting to the Vice President of Finance, this position safeguards the financial integrity of construction projects through precise job cost control, tight contract and billing administration, and disciplined compliance. You’ll be the connective tissue between operations and finance, delivering timely forecasts and clear documentation. Deep experience with Sage 300 Construction & Real Estate is required; comfort managing documentation and workflows in Procore is strongly preferred.

Your impact

  • Establish and maintain project budgets, cost codes, commitments, and forecasting in Sage 300 CRE.
  • Issue monthly cost reports; partner with Project Managers to analyze variances and refine their monthly Projection of Profit and Loss.
  • Maintain real-time visibility into subcontractor/vendor spend, committed amounts, and cost-to-complete.
  • Strengthen cash performance by monitoring retention and project cash flow and surfacing trends for leadership.
  • Execute month-end close tasks: accruals, reconciliations, and comprehensive project documentation.

Billing and revenue stewardship

  • Validate schedules of values, billing rates, and approved change orders.
  • Process monthly billings in Sage, including AIA G702/G703 and cost-plus/T&M invoices from Project Managers.
  • Coordinate percent-complete billing and revenue projections; support prompt submission and collection.

Compliance, vendors, and payables

  • Administer subcontractor insurance via myCOI in alignment with owner contract requirements.
  • Set up and maintain vendor records across Sage, myCOI, Procore, and related platforms.
  • Keep subcontractor compliance dashboards and reporting current.
  • Review vendor invoices and subcontractor pay apps for accuracy, coding, and payment eligibility.
  • Provide guidance and oversight of payroll and accounts payable as needed.
  • Manage inter-company billables and payables in collaboration with partner entities.

Controls, reporting, and audit readiness

  • Prepare financial, contract status, compliance, and job cost reports for management.
  • Support internal and external audits with detailed, organized project files.
  • Maintain internal controls and adhere to company policies.
  • Assist the Vice President of Finance with journals, ledgers, and accounts; perform reconciliations to ensure GAAP compliance and process adherence.
  • Contribute to monthly/quarterly financial statements, annual budgeting, external audits, tax filings (e.g., 1099s), fixed asset tracking, monthly reconciliations, required journal entries, and ad-hoc reporting/analysis for departments or Corporate.

Also in scope

  • Produce additional reports and complete assignments as requested by the Vice President of Finance.
  • Partner with operations to deliver supplemental job performance reporting.

Qualifications

Education & Experience

  • Bachelor’s in Accounting, Finance, Construction Management, or related field (preferred).
  • 3–7 years of construction accounting or contract administration experience.
  • Sage 300 CRE proficiency required; Procore experience strongly preferred.
  • Exposure to system migration/implementation preferred.

Skills & Competencies

  • Comprehensive knowledge of construction accounting, contract frameworks, and AIA billing.
  • Ability to interpret contracts, flag risk, and ensure compliance.
  • High proficiency in Microsoft Excel and strong general technology aptitude.
  • Meticulous organization, accuracy, and analytical problem-solving.
  • Clear communicator and collaborative teammate across departments.
  • Comfort managing multiple deadlines in a fast-paced construction setting.
  • Discretion with confidential information.
