Accounting Assistant
Overview
Responsible for assisting Accounting Manager and other finance personnel with accounting operations. Perform clerical and technical tasks that support accurate bookkeeping and financial reporting including data entry, reconciliation, and document management. Provide routine tasks centric to Job Cost Reports, purchase order entries, and material stock transfers.
Software Requirements:
· Sage300
· WorkForce Go
· Additional software such as Microsoft Office, Google Sheets and Surveys, and a basic working knowledge of database programs (e.g. Airtable)
Duties:
· Email Job Cost Reports to Project Managers and Business Manager
· Export Job Cost Reports from SAGE into Excel
· Process responses / requests from Project Managers and Business Manager
· Routinely run Job Cost Detail Reports, Job Billing Worksheets, & A/R by Job Reports
· Set-up jobs in SAGE Job Cost and SAGE Contracts GL accounts (shared task with Business Manager)
· Once jobs are established in SAGE, add Job Numbers to the time clock in WorkForce Go and, assign the PM for the job.
· Review all overdue A/R accounts and contact customers for updates and/or resolution
· Daily frontline management of email: [email protected]
· Enter all purchase orders into SAGE
· Balance / reconcile purchase orders in SAGE; ensure that PO amounts match invoice amounts
· 401k: Resolve and satisfy any file discrepancies via Fidelity online portal
· Pull equipment usage data from WorkForce Go (payroll); convert data into Excel and import into SAGE Job Cost
· Prepare by-weekly payroll (shared task with Human Resources Administrator)
Requirements:
· Associates Degree or relevant experience
· Proficient knowledge in all aspects of general ledger management
· Proficient knowledge in cash management, reconciliation, and financial reporting
· Proficient knowledge in invoicing and collections
· Familiarity with “AIA” (American Institute of Architects) billing procedures
· Experience in all aspects of payroll processing
· Data entry accuracy and familiarity with spreadsheets & formulas
· Problem-solving, analytical & critical-thinking skills; high attention to detail
· Excellent communication skills; team-oriented personality
