Overview
The Bookkeeper supports and assists the Director of Operations in the financial administration of commercial real estate owned and managed by Rubicon Real Estate. The Bookkeeper is involved in various aspects of day-to-day operations of the company, including processing the payment of all bills and monthly rental deposits as well as maintaining financial records in QuickBooks desktop and Excel.
This position is ideal for someone seeking flexible hours and strong work/life balance in a collaborative, small-team environment, located in Newton, MA.
Key Skills & Qualifications
- Strong organizational skills and attention to detail, particularly with numbers
- Excellent time management and follow-through
- Ability to take direction and work collaboratively as part of a team
- Proficiency in QuickBooks desktop and Microsoft Excel
- Familiarity with payment processing platforms preferred
Primary Responsibilities Accounts Receivable (Tenant Payments):
- Process and track tenant payments; report discrepancies and delinquencies
- Deposit checks and record ACH/EFT payments
- Enter all payments into QuickBooks and maintain collections tracking spreadsheet
Accounts Payable (Bills & Vendor Invoices):
- Organize and process recurring and non-recurring invoices for payment (1st & 15th cycles)
- Date-stamp and route invoices for coding and approval
- Prepare checks for signature or ACH payments for approval and distribute payments
- Quarterly Tax payments for all properties
- Mortgage Payments (via check & ACH)
- Quarterly insurance billing
QUICKBOOKS and Financial Management:
- Maintain accurate records in QuickBooks, including recurring (memorized) transactions
- Prepare monthly billings across all entities and set up transfers
General Accounting & Administrative Support:
- Reconcile monthly bank and mortgage statements
- Download and record monthly American Express transactions
- Enter and Track W-9 information for Tenants and Vendors
- Assist with annual tenant billings and operating expense reconciliations
Other
- Hourly part-time employee (15 hours per week)
- 2 Weeks Paid Vacation (15 hours per week – 5 hours per day)
