Position Overview
The Operations Supervisor provides administrative and operational leadership to support the delivery of high-quality care in accordance with established standards. This role ensures efficient practice operations, supervises non-clinical support staff, and partners with clinical and service line leadership to drive performance, quality, and financial sustainability.
Key Responsibilities
• Demonstrate competence in non-clinical duties aligned with Medical Receptionist/Health Aide functions within Neighborhood Health Centers (NHCs).
• Provide and coordinate coverage for clerical staff as needed to maintain smooth daily operations.
• Identify and appropriately address operational, patient, and staff concerns.
• Promote and maintain an orderly, efficient patient visit experience.
• Identify, implement, and evaluate process improvements to enhance practice operations and patient flow.
• Monitor compliance with Ambulatory Services Policies and Procedures.
• Ensure adequate equipment, supplies, and services through effective cross-departmental collaboration.
• Develop communication and marketing tools to support practice visibility and engagement.
• Design and implement effective referral management systems.
• Develop and manage patient and staff scheduling systems to optimize access, efficiency, and resource utilization.
• Provide direct supervision of non-clinical support staff, including interviewing, hiring, training, evaluation, discipline, and termination.
• Partner with the Medical Director and Service Line leadership to develop operational and capital budgets.
• Monitor and report on key performance measures, including revenue and expense metrics.
• Identify opportunities to enhance cost efficiency and revenue in alignment with CHA’s mission and strategic goals.
Qualifications
Education/Training
• Associate’s Degree required; Bachelor’s Degree preferred. Equivalent experience may be substituted for a degree.
Experience & Skills
• Minimum three (3) years management experience in Ambulatory Care operations with demonstrated organizational and problem solving skills.
• Excellent communication and interpersonal skills.
• Proficiency in Meditech required.
• Strong PC skills; knowledge of relevant software applications preferred.
• Experience working with multilingual, multicultural teams.
• Demonstrated systems improvement experience.
• Bilingual (Spanish, Portuguese, or Haitian Creole) preferred.
