SENIOR FINANCIAL & GRANTS ADMINISTRATOR, School of Medicine, Dean's Office

Boston University
Boston, MA

The Office of Finance and Grants Administration (OFGA) provides centralized, specialized financial and grants management services across the School of Medicine. OFGA currently supports fourteen departments within the School of Medicine, overseeing more than $300 million in active annual funding. Under the direction of the Director, the Senior Financial and Grants Administrator (SFGA) is a key member of the OFGA team and is responsible for independent post-award management of a complex and diverse portfolio of federal and non-federal sponsored awards, center funds, and discretionary funds. This role reflects a higher level of responsibility and autonomy than the Grants Administrator position, while working in collaboration with Grants Managers on more complex or strategic matters. The SFGA provides comprehensive post-award support throughout the award life cycle, including but not limited to sponsor reporting requirements, compliance with institutional and sponsor guidelines, establishment and management of new accounts, budget oversight, and subcontract monitoring. The SFGA serves as a primary point of contact for Principal Investigators (PIs), offering guidance and problem-solving support related to financial management and sponsor compliance. In addition, the SFGA serves as a liaison between PIs and central offices including Human Resources, the Postdoctoral Office, Student Employment, Faculty Affairs, and other administrative units to support the hiring, onboarding, and management of faculty, staff, students, post-doctoral fellows, temporary employees, volunteers, and academic job family positions. The ideal candidate is highly organized, detail-oriented, and goal-driven, with the ability to manage competing priorities and deadlines while working both independently and collaboratively. The role requires strong judgment, excellent interpersonal and communication skills, and comfort working directly with faculty and senior leadership. A willingness to take on increasing responsibility, adapt to evolving processes, and support continuous improvement is essential.

Required Skills

Bachelor's degree required with a minimum of three years of progressively responsible post-award grants and financial administration experience; Master's degree preferred. Experience managing complex federal and non-federal awards in an academic or research environment is strongly preferred. Additional Duties and Responsibilities Additional duties and responsibilities include, but are not limited to, the following:

  • Partnering with the Director of Research Administration & Finance to independently monitor, reconcile, and review post-award expenditures and invoices across an assigned portfolio.
  • Proactively identifying, investigating, and resolving financial, compliance, or reconciliation issues, and implementing appropriate corrective actions.
  • Monitoring post-award budgets to ensure expenditures are accurate, allowable, allocable, and compliant with sponsor terms, University policies, and applicable regulations.
  • Providing expert guidance to Principal Investigators on Boston University policies and procedures, as well as NIH and other sponsor rules and regulations •Exercising sound judgment in the financial management of awards, escalating complex or high-risk issues to Grants Managers or the Director as appropriate.
  • Participating in meetings, trainings, and professional development workshops to remain current on sponsor regulations, institutional policies, and best practices in grants administration.
  • Serving as a liaison with Human Resources and other central offices to support grant-related personnel actions, including hiring, onboarding, and effort-related matters.
  • Providing backup coverage and cross-departmental support as needed to ensure continuity of operations.
  • Performing other duties as assigned by the Director in support of OFGA operations and strategic objectives
