Office Manager
SUMMARY
We are looking for a detail oriented, well-organized, and collaborative Office Manager to join our team. The ideal candidate will bring strong administrative experience and background knowledge in office management to help ensure daily operations run efficiently. This role requires excellent communication, organizational skills, and proficiency with office software and systems. Finance and Technology Duties:
- Ensure all vendor information is accurate
- Activate new credit cards and updating Chart of Accounts
- Able to fill in as needed for AP & AR Administrators
- Manage general liability
- Ordering and maintaining office supplies
- File all insurance and invoicing paperwork
- Monitoring utilities for company-owned properties
- Keeping the office clean and organized, ensuring trash and recycling is removed weekly
- Fleet management including accidents, general maintenance, adding/removing employees to insurance and fleet tracking
- Reconciling bank statements weekly
- Customer Service with clients
- Manage safety materials
- Trouble shoot/ liaison between tech support and staff
- Create all QuickBooks AR &AP reports
- Oversee & assist with daily AP issues
- Create all AP processes
- Review & approve all overhead invoices/bills
- Weekly meeting to manage Accounts Payable Administrator
- Oversee & assist with daily billing issues
- Review & approve weekly invoices
- Track billing rates
- Support human resources tasks such as payroll processing and employee onboarding
- Set up new hires in Quickbooks Desktop
- High school diploma or general education degree (GED)
- Valid driver’s license
- Experience working in an office setting
- Excellent understanding of computer use
- Minimum of 5 years of QuickBooks experience
- Microsoft Office proficiency in Word, Excel (formulas), and Outlook
- Ability to adapt to new software
- Must be detail-oriented
- Ability to multitask is essential
- Must be proficient with e-mails, smartphones, and texting
- Ability to work alone and with a team
- Must have a caring and professional demeanor with customers
- Good listening and communication skills
- Positive attitude and a willingness to learn
- Ability to work overtime as needed
- Present a professional image in dress, grooming, and demeanor
- Must adhere to the company policies in the Fresh Start Contracting company handbook
SUPERVISORY RESPONSIBILITIES
The office manager is responsible for supervising the Accounts Payable Administrator.JOB TYPE: Full-Time
PAY: $70,000-$80,000 Salary

WORKING CONDITIONS/PHYSICAL DEMANDS
This position requires sitting for long periods of time. The employee will also be viewing screens (computers, mobile devices, etc.) for long periods of time which may have adverse effects on vision. This position also requires a lot of typing. Using a mouse and keyboard for extended periods has been linked to carpal tunnel syndrome. The employee must have excellent stamina to sit for long periods, stand quickly as well as walk around the office. Essential duties will require bending, using hands and fingers, talking and hearing.
